Hi Bailey,

Echo-ing this response -- we only use AO-level top containers, since it's easy to identify the box and folder number with the bulk AO import spreadsheet. We do all our processing to the folder level anyway.

I have recently started linking top containers to accessions, which is similar to linking to the resource level. This is just to help us keep better track of accession boxes before they get processed. I don't use the accession import sheet because we are typically just doing one accession every so-often, but think kind of linking is a bit more of a pain because I can't create OR attach the top containers in batches.

Hi Bailey,

It’s component level records only for us, since that approach is well supported in the spreadsheet import.

We’ve done some infrequent linking of top containers to collection level records, in a couple of cases. One would be if the resource is describing the materials at the collection level, for us typically just one or two boxes, so there aren’t any further components to attach top containers to. The other scenario is during shelf reading, if we come across unexpected boxes on the shelf (i.e. under-described part of an adjacent collection, or something that never made it into ASpace). Linking top containers at the collection level is a great way to capture what’s there and include locations.

Subject: [Archivesspace_Users_Group] Linking Top Containers to Resource and Component Records

Hello All,

We’re curious how others choose to link their top containers to collections materials, and the benefits and drawbacks of the following approaches:

  * Linking top containers to resource (collection) level records only
  * Linking top containers to component level records only
  * Linking top containers to resource AND component records

We have found all three to be useful in different circumstances:

  * Linking top containers to resource (collection) level records only
     * Expedience, when using bulk approaches to link lots of top containers in a short amount of time
  * Linking top containers to component level records only
     * When a single person is processing a collection and linking containers as they go (for example)
  * Linking top containers to resource AND component records
     * When multiple people with different permissions are working on a collection – those with greater permissions can create top containers at the resource level to be used and linked to component records that others are creating later

Thanks for any feedback!

-Bailey
