[Archivesspace_Users_Group] Import/upload CSV?

Thanks, Laurel,

I am currently awaiting a response from LibraryHost re: your first suggestion.

I’ve also found in Background Jobs (under the “gear” icon) a couple of Import Data options (one for Accessions, one for Digital Objects) in csv. Does anyone know if this is similar to the Harvard plug-in or what the differences are?

I appreciate all of your good suggestions, though.

Sincerely,

Hi Joan,

Are you implying that you would like to take a spreadsheet with good, basic description (with container references) and turn it into a Resource Record in an automated fashion?

You can do that, but a bit of finagling will be required. In my experience, it is well worth the time investment to iron this out as a do-able workflow for you and your institution. You can pick your solution:

  * I believe Harvard has developed an Excel container list plug-in, , aspace-import-excel. I haven’t used it myself, but they have posted about it to this list and also have documentation available on Git Hub. You could follow up by asking LibraryHost if they would support the plug-in?
  * Have you used Steady as a tool to transform Excel/CSV files into XML? That is a free and easy-to-use option, you just have to be able to make it a valid EAD file and import it into ASpace that way
  * Here at UC San Diego, we do all our container lists in Excel and run a Python script on them to transform them into XML. We merge the container list with a “stub” EAD record (just the mandatory fields completed with boilerplate data), import it into ASpace, and then merge the list with a “good” resource record for the collection. If you have anyone tech-savvy on at your Library that has experience with Python we’d be happy to share our script.

A little wrangling is involved, but your instincts are right on that it’s a time-saver to capture information from Excel and use that as the basis for a resource record. Hope this is helpful.

Laurel

Hi all,

I have a student who is a whiz at accessioning and is great with spreadsheets. We have a large collection that he has made sense of via his spreadsheet. We’d love to be able to import the title and date fields into Aspace. Is it possible to do that?

NOTE: I’m a lone arranger (basic tech skills) and our instance of Aspace is hosted by Libraryhost. So, if a lot of “finagling” is needed, I probably won’t be able to make it work.
