[Archivesspace_Users_Group] Narrowing search results by facet in the staff interface

Joan,

I completely agree that other search options should be part of the staff interface. I just wanted to show that there is a workaround in this particular use case, as long as you combine the URI fragment search trick with the advanced search features in the staff interface. E.g. here I’m searching for the term “cake” within any record attached to “resources/45”:

Not ideal, but it helps when searching within a single collection (or just a few, if you’re willing to add more rows and Booleans ☺).

Moving forward, there should definitely be a closer alignment, as well continued improvements, in both the staff and public interfaces of ASpace. If I recall correctly, Dartmouth has done a lot of work updating how the search results appear in the staff interface, for instance. And, as Maureen notes, there’s always room for other facets to consider adding, and a restriction one would be fantastic! Another one that I’d love to have is the ability to just add a simple “on-site” vs. “off-site” facet that could be governed by flagging certain locations as “off-site” locations.

While we're making feature requests ---

I'd love to be able to refine search results by collection as a facet. For instance, true story, I was on the reference desk this afternoon and a student said that she wanted archives about Taiwan. Despite my best reference interview skills, she didn't want to narrow down and just wanted everything we have about Taiwan.

Here's what that looks like:

[Inline image 1]
Imagine about a zillion more records that just say "Taiwan" without any further context. I know that there's going to be a push for greater usability for the staff interface -- it would be great to have this included.

Another great facet would be to use the machine-actionable conditions governing access statements to see what's open for research now and what will be open in the future (or is governed by a non-time-bound restriction). It would be great to have this in the PUI as well.

Those are my ideas of the day.

Maureen

Could it be accomplished by expanding out the Advanced Search in the staff interface to include different keywords? I wonder if searching “___” and the resource identifier might do it? Otherwise/additionally, would be it be helpful to have a “Search this collection” search bar on a resource page? (Sorry for my lousy wireframe). Ideally then it would show all of the results within the Resource tree. It would mean having to pull up the individual collection, but I remember definitely cases where I ended up downloading the PDF of the finding aid to keyword search it to find what I needed via the staff interface since it was something nested among dozens of series. If others have ideas, please keep sharing them!

I should add that I think that there should be an easier, user-friendly way to do this in the staff interface, though!!! Searching for the URI fragment just happens to be my current workaround.

I wonder if anyone else has other solutions for this right now, especially a working plugin that could become part of the core code?

Hi, Joan.

In the PUI, yes, you can do this.

In the Staff Interface, you can also do this, but the approach isn’t as obvious. But you can return every record that’s part of a specific resource by searching for its URI fragment. For example, in http://test.archivesspace.org<https://urldefense.proofpoint.com/v2/url?u=http-3A__test.archivesspace.org&d=DwMFaQ&c=cjytLXgP8ixuoHflwc-poQ&r=7Ez68qVcrmRD6nn1FqwoHBDEOxeRUCPm3xGvnFT0zjU&m=CsKKkFuZwLmWxDbgxHRhnOSBC7snrb6eb1unn0m6fSE&s=k8h5wS5XcSv3NN27zyZPs3A2l9dLNX_To2bga2Mhnm4&e=><https://urldefense.proofpoint.com/v2/url?u=http-3A__test.archivesspace.org&d=DwMGaQ&c=cjytLXgP8ixuoHflwc-poQ&r=7Ez68qVcrmRD6nn1FqwoHBDEOxeRUCPm3xGvnFT0zjU&m=11hM8HX7HlA9sIpr53-NaHOP075tgHypEKvcVTWnm4E&s=r2jIsp6YrP9MJ4M1y9UYt5iqAyax0ajQMSu75vno1OQ&e=>, there’s a Repository named GoneRepo, and in that repository there’s a resource named Aperture Labs Records. That resource has a URI fragment of “resources/45”, which is unique in that instance of ArchivesSpace. If you search for that fragment in quotes, like so, http://test.archivesspace.org/search?utf8=%E2%9C%93&q=%22resources%2F45%22<https://urldefense.proofpoint.com/v2/url?u=http-3A__test.archivesspace.org_search-3Futf8-3D-25E2-259C-2593-26q-3D-2522resources-252F45-2522&d=DwMFaQ&c=cjytLXgP8ixuoHflwc-poQ&r=7Ez68qVcrmRD6nn1FqwoHBDEOxeRUCPm3xGvnFT0zjU&m=CsKKkFuZwLmWxDbgxHRhnOSBC7snrb6eb1unn0m6fSE&s=cKXFTznSqC6O44cHIkepK2UdeuGTiDSINfcwYULklLA&e=><https://urldefense.proofpoint.com/v2/url?u=http-3A__test.archivesspace.org_search-3Futf8-3D-25E2-259C-2593-26q-3D-2522resources-252F45-2522&d=DwMGaQ&c=cjytLXgP8ixuoHflwc-poQ&r=7Ez68qVcrmRD6nn1FqwoHBDEOxeRUCPm3xGvnFT0zjU&m=11hM8HX7HlA9sIpr53-NaHOP075tgHypEKvcVTWnm4E&s=6vKqh-2GvwL35qfsDQPGPK8FiVy2ocxHaW0aI-GTFGg&e=>, then you’ll get all of the records associated with that collection. You can then filter by “archival objects,” for instance, if you only want all the components that are part of that collection, rather than top container, event, and other record types.

Does that help?

Mark

I was specifically asking if one could search within a collection in the staff interface, not the PUI.
