Yes this worked. Thank you Laney. I had suspected we might just need to restart the system, but wanted to see if there was a way to do it without.

A few updates:

-We really couldn?t get it to work so we had our VM admin?s roll back to 1.5.2 which works fine
-I checked with our Firewall admins and they could not find any changes to their set-up
-I tried the LDAP configuration with and without the encryption arguments no real difference
-Looking at the logs I see our test user names written to the log when logging in from the local computer but nothing not even error about a log-in fail is written when trying from a remote computer
-One other thing when updating to 2.0.1 I updated Connector/J to the latest version. Given that the MySQL db connected I don?t think that?s the problem but I thought I?d mention it.

We?ll try the update again in a week or two. Once again any thoughts or experiences to share would be appreciated!

Subject: [Archivesspace_Users_Group] Has anybody had problems with 2.0.1 and LDAP/Active Directory

Dear Friends,

Good afternoon. This morning I upgraded our ArchivesSpace install from 1.5.1 to 2.0.1. Our system has LDAP/Active Directory configured. I followed the instructions for upgrading including moving our unaltered config file. Now ArchivesSpace starts fine but LDAP users can?t log-in except from the local server. From localhost it works fine but from our external URL they can?t get in. We do have an F5 firewall delivering our public URL?s and that might be the problem.

In short has anybody had a similar problem and second what should I look for in the output log to give me a clue? Thanks!

Hey Alston,

I believe the best way to handle this problem is to use the archivesspace.sh (or archivesspace.bat) script to stop the archivesspace process. I would check for any hung MySQL processes as well (and maybe restart MySQL depending what is in the logs) . Then I would look for hung processes on the server and use the kill command to stop those processes. Once they are stopped, you should be able to restart the archivesspace script and the hung background job should be gone. I would then look at the background job queue to see if the next job is still there and cancel it. Once it has been cancelled, I would resubmit the job.

So the steps would be something like:

1. `archivesspace.sh stop` (or, on windows, `archivesspace.bat stop`)

2. make sure there are no archivesspace processes running (`ps auwx | grep archivesspace`) ? if there are kill them

3. check the health of the mysql server and restart the mysql server, if the logs give an indication that you should

4. restart archivesspace with `archivesspace.sh start` or `archivesspace.bat start`

Does this help?

We are using AS 1.4.2. I tested the data import functionality for marcxml of a FAST subject heading and the import job got ?hung up? in the queue. I have canceled it through the user interface but it appears to still be stuck because when I try to run another background job it just goes into the queue but never runs. Can someone advise me on how my IT guy should clear the queue from the backend?

Thanks,

We are in the process of doing a test - moving our legacy Accession Register (Access database) data into an AS Version 1.5.3 sandbox. We're using the Accession CSV template and really liking the initial results.

However, I'm having trouble getting data from one of the import fields to import. Under Extents in the AS Accession CSV mapping document (below-right), there is a field titled Physical Details (extent_physical_details) that I would like to import data into, however I cannot seem to do it.

[cid:image002.jpg at 01D2CD8F.C24C6690]

This field does appear under Extents in our AS 1.5.3 sandbox...

[cid:image006.jpg at 01D2CD8F.C24C6690]

but it does NOT appear in the accession import template<https://github.com/archivesspace/archivesspace/blob/master/backend/app/exporters/examples/accession/aspace_accession_import_template.csv> on the github site.

I've tried including this field in the accession CSVs I've created for import, placing the field where I think it should logically go in amongst the other Extent fields, but to no avail.

Has anyone else had a similar problem? I'd like to avoid placing this data into a user defined field if at all possible. Any help or advice would be greatly appreciated. Thanks in advance!

I believe you would have to change the code in the importer itself, in addition to adding a field into the csv you?re using:

https://github.com/archivesspace/archivesspace/blob/master/backend/app/converters/accession_converter.rb <-- should be the file if I?m remembering correctly.

Hello list,

I use LibraryHost as my hosted instance of ArchivesSpace, and they just upgraded me to 2.0.1 from 1.5.4. I wasn?t able to get any reports to work in 1.5.4, and now I can get some to work and to output as CSV, but in other formats. Is this a universal experience or do I have something going wrong somewhere?

If only some reports are functional in 2.0.1, is there a list somewhere of the ones that currently work?

Sincerely,

Hey Joan,

I am hoping to get a little bit more information about the problems you are having with reports. Prior to releasing ArchivesSpace 2.0.0, I ran all the reports and was able to create reports in all formats. However, some of formats didn?t produce complete reports, but they still ran without errors. Could it be that you don?t have permission to write the reports to the location that ArchivesSpace has designated for creating the reports? Can you describe what you mean by not getting reports to work?

Thanks,
Laney

Subject: [Archivesspace_Users_Group] Accession CSV - Field Not Importing

Good Afternoon Folks,

We are in the process of doing a test - moving our legacy Accession Register (Access database) data into an AS Version 1.5.3 sandbox. We?re using the Accession CSV template and really liking the initial results.

However, I?m having trouble getting data from one of the import fields to import. Under Extents in the AS Accession CSV mapping document (below-right), there is a field titled Physical Details (extent_physical_details) that I would like to import data into, however I cannot seem to do it.

[cid:image001.jpg at 01D2CE1D.389F67B0]

This field does appear under Extents in our AS 1.5.3 sandbox?

[cid:image002.jpg at 01D2CE1D.389F67B0]

but it does NOT appear in the accession import template<https://urldefense.proofpoint.com/v2/url?u=https-3A__github.com_archivesspace_archivesspace_blob_master_backend_app_exporters_examples_accession_aspace-5Faccession-5Fimport-5Ftemplate.csv&d=DwMFAg&c=WO-RGvefibhHBZq3fL85hQ&r=9YHbmM1eiWqCm2OJLhIYS5umyjEpQ6y7xeLuai3x1cs&m=1h1Jo8iDjDyHvDr7BlEeqAzUSPzM6ZOdhHVu8S7VtDM&s=6qmB3yUoALJpWxXnDSot5lf9ysYn2ERqc3K50pJKXHA&e=> on the github site.

I?ve tried including this field in the accession CSVs I?ve created for import, placing the field where I think it should logically go in amongst the other Extent fields, but to no avail.

Has anyone else had a similar problem? I?d like to avoid placing this data into a user defined field if at all possible. Any help or advice would be greatly appreciated. Thanks in advance!

Sincerely,

Hi Kylie,

What version of ArchivesSpace are you using? This sounds like a bug (https://archivesspace.atlassian.net/browse/AR-1620) that was fixed beginning with v1.5.3. If you're using a version prior to 1.5.3, upgrading should take care of it. If you're using 1.5.3 and later, please let us know and we'll investigate further.

Good morning,

We currently have an intern processing a collection for us. When she exports the pdf of her finding aid, it places one of her series out of order and then takes the file items from several series and places them within a different series. There are screenshots attached to illustrate the issue. Has anyone run across this issue as well and have a fix or suggestion? Thanks for any help.

I finally finished getting a full index and installation of 2.0.1 on our development server up and running, and the record numbers (accession, resources, subjects, and agents) seem to match our production server exactly.

However, in a few cases with subjects and agents, I?m not seeing records starting with special characters showing up in the search index and don?t display in the list of all subjects. However, they are still attached to their respective resource records, and still have full subject or agent records in the system.

For instance, we have a subject ?!Kung (African people)?. In version 1.5.3 this subject appears in the subject list, but in version 2.0.1 we just get an empty box, even though indexing has completed successfully. See the attached screenshots. And then when I click on this ?empty? subject, I can see it?s attached to 1,024,044 different archival objects, which is definitely not correct (see attached screenshot).

We also seem to be missing any subjects or agents starting with quotation marks.

Was there a change in indexing/display behavior with the newest 2.0.1 releases? It?s fairly troubling to me that we wouldn?t be able to have special characters starting our subjects. And I have no idea why we would suddenly have an empty subject record attached to over 1 million archival objects.

We?d really like to move forward with our 2.0.1 upgrade, but we definitely couldn?t before working out these issues. It totally might be something weird on our end of the database, but we?d love to hear about a way to fix it!

Best,
Patrick Galligan
