Lydia,

re: 1) We have run into the same issue at NYU that some collections have had top containers that are "Boxes 8-15" or the like. We have in those cases deleted those top containers and then created individual ones for Box 8 through Box 15 (for example). I'm not sure it looks any less elegant than otherwise. There are certainly occasions where there is unprocessed, un-described, or homogeneous material across several boxes, a series, or an entire collection where we would like to manage the individual containers across that span. The only hard part is the time it takes to enter large stretches as Rapid Data Entry doesn't seem to allow for quickly creating multiple Top Container records and efficiently appending them to a single Archival Object (whether that be a file, series, or collection)

re: 2) Do you mean that creating the location itself "Off site" requires a barcode? That's actually not the case as I understand it. You could give the location a classification instead. So it would be "Off site [off site]" or "COMPANY NAME [off site]". So the Top Container has its individual barcode and that's all, not the location.

--

Craig Savino
Senior Processing Archivist

Archival Collections Management, NYU

On Tue, May 2, 2017 at 10:36 AM, Tang, Lydia <ltang5@mail.lib.msu.edu> wrote:

Hi all,
Another barcode-related question: we are in the process of adding barcodes to our Top Containers but have two linger questions and I would love to hear your thoughts:

1. Sometimes our descriptions have spanned across multiple containers (ie: Boxes 7-12). How are institutions adding their barcodes for these sorts of situations? I am assuming we’ll go back and create individual top container instances for each box, but it won’t look very elegant…

2. Our barcoded materials are located in off site storage and we don’t barcode materials on site. If we try to add the location of “off site,” it requires us to have specific unique information (such as a barcode), but that would either mean we would duplicate the barcode in two places or that we put the barcode information there instead. My concern there is how well it would interface with request plug ins such as Aeon if the barcode information is not in a designated standardized field.
Any thoughts and suggestions would be greatly appreciated!
