We are looking to bulk edit our top container locations by barcode, as that is what our vendor will be providing us to track our collections. I see there seems to be an easy way to do this under the Bulk Operations in the Top Container Management function. I'm finding that I can only search for 247 barcodes at one time. Anything above that gives a "we're sorry, but something went wrong" error message. We're thinking of maybe trying to use the API instead, but I'm not very experienced with the API at all. Has anyone else undergone a similar project? Did you also see this 247 barcode limitation? Has anyone done this using the API and willing to share some insight? In-Reply-To: References: Message-ID: Hi Christopher, As long as you're on a somewhat recent release (apologies, I don't recall when this functionality was added, it's at least in 3.3), there's a built-in bulk process that depends on using a download from the collection level of your resource. I'm hoping this screen shot will come through, but it's under the Export menu>Download Container template. [image: image.png] It will export every AO on your resource. You add container information to any pertinent rows, delete any others, and as long as you don't fill in the "Top Container ID" column, the system assumes that container is new and builds it. Then you import via the "Load iva Spreadsheet" option on the Resource record, selecting the option for "Link Top Containers" rather than "Import Archival Objects" and viola, you have linked Top Containers. Currently, the button is only viewable to users who can edit whatever record type they are looking at. We made a user group for reference/reading room staff who we want to give access to some internal records, but just not edit them. They are missing out on some benefits. For instance, if they are in the public side of a top container record that is restricted, they would be able to directly jump to the staff side to view what local access restriction may apply or how long the restriction is for. We also use the Repository Processing Note field to document issues related to particular resource records and archival objects that may be useful to jump to from the reference desk. Since the button takes you to View not Edit mode of records, it seems pretty harmless to link to. There isn't a way to directly transform subject records into agent records because of the way the data is structured in ArchivesSpace; you will need to export all of the subjects you want to convert, figure out what kind of agent they actually are (person, corporate entity, family, or software), then update the records so that you can import them back into ArchivesSpace as the proper record type. All of that can be done via the API. If the subject versions of these agent records you have now are already associated with resources, archival objects, and accessions, I'd also suggest that you make sure when you export any of the data you remember to pull out those associations as well so you can re-link based on URIs when you create them as agents. Atlas Systems' Valerie Addonizio did a great presentation on how to prepare for ASpace 2.7: https://training.atlas-sys.com/Course/Details/4336, which I'm leaning on heavily as I'm starting in on things. I'm currently planning on upgrading to 2.6, running the scripts to get things prepared for 2.7, upgrading to 2.7 to make sure everything works as intended, and then going the rest of the way. We made a user group for reference/reading room staff who we want to give access to some internal records, but just not edit them. They are missing out on some benefits. For instance, if they are in the public side of a top container record that is restricted, they would be able to directly jump to the staff side to view what local access restriction may apply or how long the restriction is for. We also use the Repository Processing Note field to document issues related to particular resource records and archival objects that may be useful to jump to from the reference desk. Since the button takes you to View not Edit mode of records, it seems pretty harmless to link to. We attempted to do what Lynn described below (thank you for those instructions!) and had some odd results. First, when we download the container template for any of the collections created in Archon, the archival objects in the spreadsheet are reordered. We also downloaded a few container templates for resources created within ArchivesSpace to compare, and those did not have this issue. Also, although the data I entered in this spreadsheet indicated a top container type and indicator and a child type and indicator, the ingest resulted instead in two top container instances (box and folder) as well as a child folder container under the box top container. I?m attaching the spreadsheet. Does anyone else have issues with data imported from Archon while trying to use this functionality? I would welcome any ideas what I might have done wrong. We do have some larger collections for which this would be timesaving if it worked as intended, so I hope to be able to use it. We do not have access to the API. Thank you! You add container information to any pertinent rows, delete any others, and as long as you don't fill in the "Top Container ID" column, the system assumes that container is new and builds it. I am now trying to identify what is already in ASpace so I can use the URIs in the bulk importer. However, I am finding that our subjects and agents in ASpace were not uniformly created, so, a) finding matches is difficult, b) I'd like to clean up the records in ASpace and after all that, c) I need to get the collection uploaded, subjects, agents and all. I have questions I need help on, either, how to... or confirming what I think I know: 1. To my knowledge, there is no bulk updater for subjects and/or agents. I do not use the API, as I have not had the time to dive in like I have been wanting to. Am I missing a way to do this via the SUI? 2. Our agents have not displayed dates. At Denver we had instances where we needed to import the same term as a Topical heading and a Genre/Form heading, and if I remember correctly we were able to do that even in cases where the terms were local headings only (so they wouldn't have had Getty or LCSH URIs in the Authority ID field). We imported Subjects and Agents before Resources and Archival Objects at Denver when we migrated from Re:Discovery. Note that if you work directly on the db, it is possible to load records that don?t pass the internal validation, including near-duplicates. We had a number of terms in our instance that way that were differentiated only by their source, and they caused a bit of a headache to clean up. I hope that helps! I am working on a project migrating an old access database collection listing to ASpace. There is a lot of subject and agent cleanup, most of which I have done. I am now trying to identify what is already in ASpace so I can use the URIs in the bulk importer. However, I am finding that our subjects and agents in ASpace were not uniformly created, so, a) finding matches is difficult, b) I?d like to clean up the records in ASpace and after all that, c) I need to get the collection uploaded, subjects, agents and all. I have questions I need help on, either, how to? or confirming what I think I know: 1. To my knowledge, there is no bulk updater for subjects and/or agents. I do not use the API, as I have not had the time to dive in like I have been wanting to. Am I missing a way to do this via the SUI? 2. Our agents have not displayed dates. I just edited one agent name and found there had been dates entered. When I saved the record, the dates suddenly appeared, however, the dates appear in parenthesis, not with a comma as found in LOC. I.e., Smith, John, 1967-2014, instead I get Smith, John (1967-2014). What am I missing? Can this be changed? 3. If I recall correctly, if I do a bulk importer including all the subjects and agents, the system will not identify duplicates and will instead create a new record unless I have the ID and use that instead of text. Do I have that correct? 4. I?ve not delved too deep into Subjects and Agents in ASpace other than very basic stuff so I am unsure how to handle subjects that start with an agent name and has subject qualifiers, would that be a subject, or an agent? i.e. Smith, John, 1967-2014 -- pictorial works Last but not least (and I could probably ask a million more questions) With over a thousand new terms to be attached to almost a thousand archival object records, would I be better off first bulk importing the subjects and agents and then bulk importing the collection and link terms later? Can you say more about where the barcode is appearing in the public user interface? To change how that page behaves you would need to write a plugin to override whatever page in ArchivesSpace is controlling that display. I'm encouraged to hear that there is a way / barcodes shouldn't be necessarily displaying publicly. They don't show up within the PUI resource records themselves BUT do show up in the PUI search results list. It displays as "Collection Title" Top Container and Indicator: [BARCODE] in the search results page. Once I click on a search result and go to a specific collections page, the barcode information is no longer displayed. I've entered the barcode / id in just the top container "barcode" field, which, when I looked at barcode examples today in the Aspace sandbox, looks like what others have done. I would like to start a discussion about the potential of putting in a request that this be optional for EAD output. That said, it makes perfect sense why some institutions would want this feature. We discovered the URIs while test loading a EAD2002 on the Online Archive of California test server. I'm curious if other OAC contributors have noticed similar? In the meantime, we might version back to 3.3.1 for production to avoid the URIs displaying via OAC. We want to avoid having our Archivists strip out the URIs as a workflow step if at all possible. If you are going to place data in ArchivesSpace based on a standard that ArchivesSpace doesn't support, I would advise putting data that is atypical of archival description into a general note, giving it a label that matches the MARC field meaning. Someday, you may be able to extract and re-use the data, send it to a bibliographic utility to set your holdings, or future re-use that we can't even imagine today. I don't see any way to key in the MARC encoding analog, which would be highly desirable information to have. I'm not sure if this email list will let me include a image, but I'll try. I'd love to know if anyone else is experiencing this issue. We're running ArchivesSpace 3.4.0 on two virtual machine (VM) servers in parallel: one for Development (4 GB memory), one for Production (16 GB memory). Both servers are on Ubuntu 22.04.2. Occasionally, the Production VM will freeze up completely, to the point where we can't log in, and have to do a "hardware" reset through ESXi. Once we reset the server, login, and reboot the ASpace software, everything runs fine for a while until it freezes up again. We tried putting the Development VM through a bunch of stress testing to see if we could replicate the issue, but we haven't been able to get it to freeze up. Has anyone else experienced anything like this, where their underlying operating system/hardware is crashing beneath ArchivesSpace? Thanks! Change Your Clocks, Check Your ArchivesSpace Daylight Saving Time approaches for many this time of year, and some may recall that it can have weird effects not just on humans, but also on ArchivesSpace deployments. Generally, the effects on ArchivesSpace are experienced only when an hour is lost ("spring forward"), not when an hour is gained ("fall back"). If you notice your ArchivesSpace behaving strangely around this kind of time change, we suggest you first do the following: 1. Check the archivesspace.out logs. 1. Only if you see DatabaseError: Java::JavaSql::SQLException: HOUR_OF_DAY: 1 -> 2 Run this small MySQL update to update records created in a day/time that doesn't exist due to the change in time: UPDATE user set user_mtime = NOW(), system_mtime=NOW(); 1. Restart ArchivesSpace. This should ensure any problematic records now belong to a time that actually exists. Also, remember that ArchivesSpace members are eligible for technical support. If you're a member and experience any difficulties, we encourage you to reach out for assistance. ArchivesSpace v3.5.0 will include a fix to this problem, but unfortunately that release will not be out until after October/November 2023's round of Daylight Saving Time updates. Are your ASpace instances set to take advantage of the expanded memory? This would mean adjusting the JVM xmx settings. https://archivesspace.github.io/tech-docs/provisioning/tuning.html Also, are your staff engaging in any workflows that would touch many associated records? Something like bulk updating top containers, entities, etc.? That could lead to situations where memory is quickly consumed and the OS either stalls, or unceremoniously kills off the app as an act of self-preservation. I'd also check web server logs. I've had my fair share of web scraper bots slam a web app to the point where I couldn't even log into the server!
