Message-ID: Hi, We are preparing for a migration of data into ASpace and have decided to use classifications to replicate our repository's system of record groups (some based on Sister of Providence names and numbers). We were discussing whether to use leading zeroes in our classification IDs and tested some fake classifications with and without leading zeroes to find out. The result is perplexing to me. An alphabetical sort by title does not seem to sort alphabetically or numerically in the correct order. In-Reply-To: References: Message-ID: Hi Elizabeth, We also use classifications to replace our system of record groups. I couldn't quite tell how you are using it, but we put the record group number as an identifier and the collection title in the title field. The classifications only let you sort by the title (which puts the identifier before the title though I'm not sure why) so we also had difficultly sorting. I solved this by going into the global preferences and changing the classification browse columns. I added the identifier field to the browse column (making column 1 the identifier and column 2 the title) and so now we can sort by the identifier field which will sort correctly alphabetically and numerically. As far as I can tell when you sort by title, it sorts only by the title field and ignores the identifier which is included in the title field when you are browsing classifications. If so, could you tell us how you're using it? We are interested in experimenting with the plugin as we are considering creating a public-facing, state-wide ArchivesSpace aggregator, where institutions from across the state can contribute their finding aids for researchers to explore collectively. We are assuming that using EAD would be the best format to do this with and we've already identified a couple of different tools to help us manage the initial export and import of data from other institutions into the aggregator ArchivesSpace instance. The difficulty, however, is what to do with collections that are updated/changed moving forward, as well as any additional collections that are added. The above plugin will monitor and pull updated/new collections and even remove collections if they are no longer set to publish or are deleted/suppressed - but the drop-off point for these are EADs in GitHub. Getting EADs from GitHub into ArchivesSpace for already existing collections is not possible unless we delete the initial collection and add the new one, but that eliminates sustainable links on the public side. We could bypass this issue by including a link to the original collection from the institution so a user knows to check there for any updates, but that's not an ideal solution. This is on top of work we will need to do to clean-up/standardize the data going into ArchivesSpace using Schematron or another integration which the above plugin has available. As you can imagine, there has been a great deal of data clean-up and reconfiguration of locations data. The EAD transfer went off with very minor hiccups. I can't imagine doing this in-house. Atlas has been incredibly helpful throughout the process and provides detailed training as well. We had a bit of trouble getting our Archon data into ArchivesSpace, but the staff were as helpful as they could be. We initially considered LibraryHost but felt that their lack of an on-staff ASpace specialist who could help with configuration and training was a concern, as well as that they are not an ASpace registered service provider. They also advised they do not have "set support hours" but will get back to you in 24 hours if it is urgent, and this was a bit of a deal-breaker. Atlas was great for everything, our data migration from Past Perfect took a bit longer than expected but it was a weird request to begin with. I think LH is probably fine if you already have people on staff familiar with both ASpace as a program and the technical knowledge to know how to direct them in terms of plugins, updates, etc. This was all new for us, so Atlas was the better route. As you clicked to the left of each archival object while holding down Ctrl, the numbers 1, 2, 3, etc. would pop up. Then, you could drag the entire set up or down and insert the items in that same order. [...] After the update, ASpace doesn't allow this. You can move multiple items, but the little numbers don't pop up. ASpace still asks you to select "Add Items Before, Add Items as Children, or Add Items After," but then it will drop the items in the order it feels like. For example, if I move 3 items and select "Add Items Before," it will drop 2 of the items before and 1 after. Or, if I move 5 items and select "Add Items Before," it will intersperse them across 10 items. [...] So you have to revert to moving one item at a time. In-Reply-To: References: Message-ID: A few years ago, we did a big project to look at identity categories in subject headings that are assigned to archival collections. This included subject analysis training and a big lit review (although I'm seeing some really wonderful resources in your email, Alison, that have come along since!) I think our big two principles that we took away that can be applied to any of this work are: 1. A person is always the sole authority on their identity categories. Often, when we do description work, it's important to identify from independent sources that our information about a historical figure is true -- but the only appropriate source for identity categories like gender, sexual identity, race, ethnicity, or belief is the individual themself. 2. Do not assign an identity category to a person unless we have documentation from that person's own voice that it applies. In some cases, a person may present different identity categories to different audiences. For living persons, it's best to just check with the person. For dead people, any differences should be documented and contextualized as part of archival description. For my money, if we follow these guidelines, we tend to be okay! I see from this page in the general Solr documentation that there are conditions under which that file does gets renamed. I use Windows and since I mainly need to install and run ArchivesSpace myself for testing purposes, not production, when I encounter problems with Solr my usual approach is to go back to the beginning, make a new configset and core and try again. Most of the time that solves it for me. If the problem persists for you, though, and there aren't other suggestions, we can help you through a tech support ticket, though it may take a few days to get to it. (I am not at all the Solr expert on the team, but answering as the American contingent of the ArchivesSpace community is probably a little sparse for the next few days since there's a holiday here tomorrow.) The override ensures that the LCNAF plugin behaves as it would previously, without importing related subjects + agents (since those lack identifiers, when they were imported, due to the single MARC-authority-record approach) and without trying to add additional demographic data, like gender. The approach is very heavy handed, in that it simply removes the new behavior from the MARC Authority record importer code. If you can install plugins in your instance of ArchivesSpace and would like any help getting this set up, just let me know. For the basic approach, though, see https://github.com/Smithsonian/lassb-aspace-overrides/blob/main/backend/plugin_init.rb. If you add that file + file structure in a plugin (even the ?local? plugin would do), then that approach might work for you. This gave a checksum error but I just switched the checksum flag in the config.rb to false, and everything is now working! I had tried changing the name from 'managedschema' back to 'schema' but it just kept changing it! Which is strange; I had looked at the link you sent to the solr documentation before, and the schema factory tag was set correctly it the solrconfig. So I really don't know what it was! So, I'd like to know if anyone has successfully used the AT to AS migration tool in the last few years and can offer any hints/tips/tricks/hope? Alternatively, are there other options we should consider, such as simply installing the most recent version of AS and migrating our AT data via some other method? I've thought about exporting our finding aids from AT as EAD files and then importing them into AS, but what about the other data sets such as accessions, digital objects, subjects, names, etc? If you would like, I can reach out off-listserv to supply a docker file for your IT person to try out. We migrated when 2.7 was the latest/semi-latest release, so it wasn't that much of a stretch to get 2.6 working (though I remember having difficulties going backward from 2.7 to 2.6, due to new language requirements if I remember correctly). If you can get 2.6 up and running, I highly recommend going with the AT to AS plugin, since it will copy the data over completely and has a robust error log to record when things don't migrate or changes are made. There is a 3-part video tutorial series on YouTube that walks through the steps on how to set up your environment pre-migration, using the plugin, and post-migration cleanup, as well as a bunch of resources elsewhere (Orbis Cascade's AT Cleanup and Migration Prep Guidelines comes to mind). If you had to import to the latest ASpace version, I would look into using the Import Data background jobs for Accessions, Subject-Agents, Digital Objects, etc.. This comes with a caveat that background jobs (to my knowledge) fail once they encounter an error - so bulk importing is cumbersome unless you can develop a script to batch create background jobs and track them via the ASpace API, which comes with its own challenges. I also don't recall what you can export from AT (EAD yes, but MARCXML subjects and agents too?). I hope this is helpful. Message-ID: <538C739047C356499F2F0D78696DA4FE10FE02FD@RWWLEXCHSRV01.RWWL-MAIN.AUCTR.EDU> Hi folks, We're trying to set up the ArchivesSpace OAI-PMH feed in Digital Collections Gateway (DCG) so that our finding aids can appear in WorldCat. Unfortunately, the OAI-PMH feed that is coming out of ArchivesSpace isn't passing the pre-check validator in DCG. We reached out to OCLC, and they said to test the feed using the validator at https://www.openarchives.org/Register/ValidateSite. When we did so, we got a failure for the element, because the value is currently set to "archivesspace" rather than to our domain "auctr.edu". The domain is what's required in that element according to the guidelines. There's no option to change that particular element, either in the back-end config.rb file, or in the staff interface "OAI-PMH Settings" page. Is there any other way to change this value? The element is from the staff interface ?OAI-PMH Settings? page. It uses the OAI Record Prefix where it removes the ?oai:? part if you still have it there otherwise it will just take the value entered there (I think this is it as I backtracked from just trying it in our test instance-- https://github.com/archivesspace/archivesspace/blob/a81ea29ea0167374ef7d38e8a5631627b9cd1d2d/backend/app/lib/oai/oai_gem_patches/identify_response.rb#L22 ). It did require me to restart the application when I changed the OAI Record Prefix field to take place in the https://archives.lib.ku.edu/oai?verb=Identify where I found the element. The Trainers Corps is currently developing the 2024 training schedule and is requesting community input to help determine future training topics. Responses to this survey will be used by the Trainers Corps to prioritize offering the top 3 selections over the course of the next year.
