I've been trying to look at configuration settings and documentation and can't find any reference to this. I understand database settings is at UTC and we wouldn't want to change that. So it's really more the display on the Staff UI that we would like changed so we can run AEST queries for reports/searching better. Would appreciate your suggestions. All of our containers currently have two locations, their original location and the post move locations. I am trying to use the space calculator function to find space, as we just got in a new collections. When I search "By Building", but the search just get hung up on "Loading..." and does not progress beyond this. If I search "By Location(s)" in the same area I will find open spaces. Our locations have all the fields identified: Building, Floor, Room and Area. Does anyone else have this issue? I suspect it might have to do with the amount of locations in an Area, if so is there a limit that we should not exceed? Today when I got the error, I decided to try adapting a previous successful template with the new info, and that successfully uploaded. Is this just happening to me or anyone else? Does anyone else use a DAM or other kind of digital repository that does not come with an integration option from the developer? Was it relatively (I use that very loosely) to batch import digital objects from that DAM to your ASpace instance on your own? Some background: We have two different systems here for digital materials -- Preservica and our digital asset management system, NetX. I'm in conversations with Preservica wrt integration, but NetX does not have anything similar. The material kept in each system is totally different. Everything in Preservica will be linked to ASpace, while only some of the assets in NetX will be. I'd love to hear any experiences people have had with this kind of situation. Thank you so much! We're currently running v2.8.1 and when we test the harvest on v3.3 we consistently get timeout problems where sometimes ASpace will simply stop responding or return some error. Some of our records are very large, but this happens when we request even relatively small records. As a work-around, we wanted to try harvesting records in MARCXML format. It doesn't provide all of the data that are included in the EAD record, but it's good enough for our purposes. The problem we have with harvesting records in MARCXML format is that ASpace returns not only resource records (which are the only records returned by EAD) but also records for archival objects, which we don't want. That is, we want records with an identifier of oai:und//repositories/2/resources/1301 but not oai:und//repositories/2/archival_objects/673199 When I add set=fonds to the OAI URL, I do get just resources (plus deleted records), which is pretty much what I would expect, but not all of our resources are fonds. When I add set=collections, I start getting archival objects as well as resources. And without specifying a set, I get a mix of resources and archival objects. When anyone (including admins) try to either upload an agent from LCNAF/LCSH or create a new subject or agent record, it appears as if the request was completed, but the new subject/agent is not listed with the rest of the records and cannot be added to any resources. We've also noticed that if we try to manually add the subject/agent, we're usually met with an error message making it appear as if the subject/agent already exists. We can even click to view the conflicting record, which leads to an actual record that appears to have been created, but is listed with the rest of the subjects/agents and cannot be added to any resources. One processor was able to add subjects and agents as of Thursday afternoon, but not as of yesterday. Thank you so much for your help! We've run into a problem as of yesterday: we are no longer able to add new subjects or agents. When anyone (including admins) try to either upload an agent from LCNAF/LCSH or create a new subject or agent record, it appears as if the request was completed, but the new subject/agent is not listed with the rest of the records and cannot be added to any resources. We've also noticed that if we try to manually add the subject/agent, we're usually met with an error message making it appear as if the subject/agent already exists. We can even click to view the conflicting record, which leads to an actual record that appears to have been created, but is listed with the rest of the subjects/agents and cannot be added to any resources. That allows me to calculate an extent record. I need this since we are using off-site storage. So, I reserve the extent record just for calculated extents. I'll be using Notes fields for other "extent" descriptions. I know some institutions create profiles for everything, including media, it all depends upon how what you consider a top container. The difficulty is keeping track so make sure you decide on a naming convention. Sadly, there are too few fields (IMO) for the profile record. The issue I have with creating unnecessary profiles is when I have a profile for a box but the extent measured by is different based on how it sits on the shelf. I had opened a JIRA ticket to change the measure by field to the top container, not the profile but it was decided not to change that, and I was told to create a new profile for the different extent even though it's the same exact container. For those (flat file folders, rolled items, framed items, etc.), we have generic container profiles with nominal measurements. Eventually we intend to consolidate our volumes in designated shelving areas so that we can make use of the space calculator function for everything else. A couple things we did to make the process of establishing container profiles easier: - Did not attempt exact precision. Depending on the manufacturer and model, record cartons can vary a bit in dimensions. We decided not to worry about that and use a single container profile for all record cartons. The same is the case for standard document boxes. - Included the dimensions in the title field. For example, "Non standard box (7d x 10h x 4.5w)." We found that to be useful. While we don't do it here, I've previously included manufacturer/model numbers in the titles so that if you have a box that actually has that information on it (which is annoyingly rare), it isn't necessary to measure it again. It took us quite a while to get all the container profiles added, but we already had to barcode all of our boxes in preparation for moving to a new building and it was extremely helpful to know ahead of time which boxes had dimensions that our standard size shelves couldn't accommodate. When we moved into our new space, we barcoded every container and took the dimensions so I could pre-plan where the boxes would move to. Now that we're trying to capture all containers in ASpace in order to eventually make use of the calculating functions, I've opted to use estimated dimensions -- rounding up to avoid any future miscalculations from the space calculator -- and to include the just the "measured by" dimension in the container profile title. So, we have "Flat 15" as the title for the flat boxes that measure 15" in length. "Record Storage Box 10" for boxes that are shelved with the short side facing out, and "Record Storage 15" is a second container profile for boxes shelved with the long side facing out. Obviously changes will be made for different containers, like when two might have the same "measured by" dimension but different heights. We'll need to double check the container profiles in that instance, but these other rules make it simpler for batch modification to containers. I'm using the template that is downloadable under Bulk Import Template within the gear menu on the top right of the screen. I see the columns for labels that I believe are new for AS 3.3.0, but no labels will import even if I put data in there. For a catalog migration project a couple of years ago, I had a spreadsheet of MARC records which contained URLs of digital assets stored and managed in a DAMS. I used the URLs and other metadata from the MARC records to populate the ASpace bulk import template for digital objects, then ran the import. The digital objects aren?t synced with the assets in the DAMS, but it did enable us to maintain the links between the descriptive records and the digital content when we moved description into ASpace. I could be completely missing the obvious, but is there a way to link more than one top container at a time to a resource record or archival object etc. when adding top containers that already exist? For example, when creating accession records, we add the top containers of the accession there, and then link those top containers to the associated resource record so we have a complete count of the number of boxes actually part of that collection, but in doing so, I have to individually add and browse for each instance one at a time. The browse function also of course resets itself between instances, so I have to X out the collection name and then search again for the accession record, and then finally select the next top container. I know this can be done via the spreadsheet and the top container IDs, but that seems like extra work for times there aren't that many, and I know technically each instance is independent of the next, but it seems like just clicking through the top containers you want in one shot would be more efficient. Does anyone have a solution or found a work around? Thank you! In my experience, having both resources/archival objects and accessions linked to top containers is duplicative and causes problems down the road if you ever need to consolidate material that was in multiple containers (it's really hard to remember to update two different records for a single change). Of course, every institution's workflow is different, so if this would be valuable for your work, you should definitely submit a JIRA ticket. I think we tried reindexing first, which didn't work for our instance. We think our issue stemmed from lots of importing and merging records in the migration from Archon which was a bit of a mess. Learn why this is important Hi All, We recently upgraded from ArchivesSpace v2.8.0 to 3.3.1 on our Development server and we're running into an issue. When we create a resource, it will not appear in the Resources list on the backend/frontend and I can't find it in the system by searching for it. If I try to recreate the record using the same identifier, I get an error message saying the ID is already in use. We tried forcing a re-index, but it caused the existing records to vanish. Does anyone have any ideas of what the problem might be? I'm using rbenv 1.2.0 and jruby 9.4.2.0 on an M2 with 13.2.1. I've created a workaround script (happy to share if that's helpful) that uses an rbenv managed jruby, but just wondering if I'm missing something obvious? So, for example, the location might be file:///C:\Users\leahtams\Documents\FindingAid.docx (that is how my filepaths are, but yours may be different). If they are stored on your personal computer and not a shared network, it's important to note that you'd be the only person who can access it, since the filepath would be pointing to something on your specific machine. If you wanted others to be able to access it, it would need to be in a shared environment. That's what we use. I don't know about Windows. My personal opinion is that ArchivesSpace works on Windows, but tends to be happier on Linux. I could not get the mailto to work in the file version either, but I was able to make it work in a notes field. But since you are concerned about the visibility of the notes field... Short of messing around with the PUI layout etc. can you have a static website page with the mailto link and other information regarding accessing digital assets and use the URL to that page in the file version for all the digital objects? That said, it may be better anyways to use a plugin or some other way to direct people to a single destination for your digital objects, rather than use that field in a way that's not its intent. Do you need published File Versions for these records at all? Maybe the published Digital Object record itself is sufficient for your purposes, with a more prominent note with the contact information. This is apparently happening at random, and not consistently happening on every finding aid or for every user, which makes it hard to troubleshoot. Anyone run into this before? However, I just completed a move which included getting container level control for barcoding. I had a few collections of homogeneous content, i.e. audiovisual, and artifacts. In those cases, I added audiovisual to the value list and assigned that to the containers and for artifacts I used physical object. All the while, I have been asking myself why the heck instance type was a requirement for creating or linking a container when it does not describe the container at all, the description is more relevant to the archival object record and not the instance. It would make more sense to relegate that data in a descriptive field not tied to the container. I cannot say for certain, but it looks to me that the Instance type is not stored as part of the container record as that data only appears in the record for the resource/component. If you look at the Container record, you only see "container type" not instance type. If you were to unlink the container record, you lose the instance type data even if you do not delete the container record itself. The short answer, the instance type really isn't about the container but about the "thing(s)" the record is describing and are being put into the container. So, even if the container is shared, one record might indicate it is audiovisual, and another record linked to the same container might be text. Hope this helps. The Member Match program is an initiative to engage the ArchivesSpace membership community, created and organized by the Member Engagement sub-team of the ArchivesSpace User Advisory Council, with support from the ArchivesSpace Community Engagement Coordinator. The program is intended to be a resource and venue for peer-to-peer support between ArchivesSpace members. At the same time, supporting the deployment of ArchivesSpace is increasingly an expectation for consortia that provide technology services to their members. In recognition of the important role they can play in our larger community, ArchivesSpace is launching a new Consortium Provider affiliation. This affiliation will provide a clear path for staff of consortia to provide more informed service to their members and connect with the larger ArchivesSpace community while supporting the sustainability and future development of the ArchivesSpace application at the same time. Please note: individual institutional membership will remain the way for consortia member institutions to access ArchivesSpace membership benefits directly. This is not a discount program or a replacement for individual institutional membership, which is essential for the sustainability of ArchivesSpace.
