I'm running into an error on EAD imports. This is the first time I've run into this problem, so I'm not sure what's different this time. I have also run my XML file through an EAD validator and it seems to be fine. The main error message I'm getting in ArchivesSpace is: "MySQLIntegrityConstraintViolationException: Duplicate entry 'root@/repositories/5/resources/1041-1000' for key 'uniq_ao_pos'>" When I searched this error in the listserv archive, I found something about sequence numbers, but it was over my head. And most of the exchanges were from 2018 or earlier. I also don't have access to our SQL backend or the installation files for ArchivesSpace. It's all managed by our IT department. We are running v3.2.0. Has anyone run into this error? Any advice for fixing it? V3.3+ appears to run fine bare metal with the mods outlined by Mark Triggs (https://teaspoon-consulting.com/articles/archivesspace-on-the-m1.html) but I could not? get 3.1.1 or 3.2.0 to run. I tend to develop on bare metal since containers add enough overhead that its annoying (to me anyway). We heard updates and discussed the following topics: * An update from John Wilkin, from his unique perspective as former Founding Partner of ArchivesSpace and now CEO of our organizational home, Lyrasis. He highlighted areas of focus for Lyrasis, including improving hosting services. He also proposed a change in status for the organizational home representative to the board from voting member to ex officio member to avoid the appearance of conflicts of interest. A revision to the bylaws reflecting this change was later proposed and approved by the Board via email. * An operations report that highlighted a recent training aimed at users outside the U.S. and the introduction of the new Consortium Provider program. * The continued excellent work of TAC and UAC, including the active participation of different sub-teams in the Virtual Member Forum. * The success of this year's community session, held in conjunction with the Virtual Member Forum. * An update on the Nominating Committee's progress in identifying people for openings on the Councils and Governance Board for FY23-24. The board later approved appointments to TAC and UAC, and an election slate for open Governance Board positions via email. The board considered and approved a FY23-24 budget focused on the continued growth of the software while providing additional support for vital community engagement efforts. In response to concerns raised by a member institution about the ArchivesSpace Code of Conduct being used for a situation involving concerns received about a session at the Virtual Member Forum, the board considered both the incident and larger issues related to the Code of Conduct, discussion of harmful archival material, and commitment to diversity, equity, inclusion, and anti-racism. The board determined that further clarity is needed in the Code of Conduct, both in timelines for handling incidents and processes when there is unintended harm. The board also affirmed that being an inclusive community necessitates further discussion and agreement as a community about how discussing harmful archival materials or past practices is approached in ArchivesSpace spaces. In the coming months, the board will develop a framework for a community review of the Code of Conduct that creates space for dialogue across the community. More information will be forthcoming. The importer takes action at whatever level of the hierarchy is selected when you create the import job. If you're on a Resource record with no existing children, there is only one option (the resource) and in that case you will always get children of that resource; but if you're on a resource with a series, and you're on the series level when you click to import, the archival objects should be created under that series. I've been experimenting with the excel import sheet. This is kind of embarrassing, but I cannot locate the Resource URI for a given resource/collection. I assumed it was the Identifier at the collection level, but I'm getting errors that do not recognize the Resource ID. Alternatively, I used an EAD ID and it worked, but the hierarchy codes are causing errors unless I designate an archival object as level 1. I'm not sure if hierarchy codes only work if a Resource ID is used. I'm not sure if this is an issue with the excel sheet or just user error. If any one has any advice or a youtube clip (I couldn't find one), it would greatly be appreciated. Thanks! Not sure if this is configurable, if it?s something to do with our puppet runs etc or whatever. However, I just want to make sure it?s safe to delete the content and clear some space (ideally everything in tmp, if possible). Turns out that the build script does not? clean up after itself so if you do builds/bootstrap for multiple versions, chances are you will have problems with conflicting/multiple versions of some gems. The trick is to clean out the debris from the build folder before running a different version build/bootstrap. Basically, wipe out anything that isn't in the code tree. Then you can run in dev mode on bare metal. I've also been able to build releases for 3.3.1 and 3.4.0 in case you prefer running non-dev mode. V3.3+ appears to run fine bare metal with the mods outlined by Mark Triggs (https://teaspoon-consulting.com/articles/archivesspace-on-the-m1.html) but I could not? get 3.1.1 or 3.2.0 to run. I tend to develop on bare metal since containers add enough overhead that its annoying (to me anyway). We know we need to break it up, and the time has come to decide exactly how. The most rational seems to be to use the alphabet. The number of boxes per letter ranges from 1 box (for Q) to 53 boxes (for M). Boxes seem to max out at around 200 folders. What I'm pondering is whether to create a single resource with separate series for each letter, or whether to create individual resources for each letter. We've gotten advice to avoid having more than 5,000 AO's at the same level to avoid instability in the system, so we may need to break some of the bigger letters down further. We know to avoid using containers and locations as artificial collections. Before we make these basic structural decisions and I thought I'd throw the question out there. Does anyone have experience working with large, non-hierarchical collections like this? Any advice or examples or lessons learned would be much appreciated. In some cases, it is within a series within a collection. All our resources are collection level records; therefore, the breakdown would be component records. We have done it in several ways, depending upon the collection, size, etc. We have created series and/or sub-series, and in some cases, we create a component record to represent what is in a container and give a span description, i.e. Crime - Development. I would also consider to what level you want to describe. Do you want to locate content at the folder level, or is just knowing it is in a top container enough? If the Letter "A" spans several top containers, you can have one component record with multiple top containers, or you could break down by top container. This may make retrieval easier if a researcher can pinpoint the specific container. In this scenario, you could have A as a series, then have sub-series as child records describing the contents for the top container. If you want to identify the folders, depending upon the number of folders for the letters, you can further break it down by span, Bed - Bre, and then have child records that detail each folder subject, Bed, Bedroom, bet, bingo, bling, breakfast. Honestly, there are various ways to do this. Keep in mind, you can have multiple top container records associated with a record where each one indicates the box and a folder, even if the box is the same, the folder is different which is useful for subjects that may be found in multiple folders. You can also mix and match, where you list the subject matters and some subject matters have multiple top containers, and more than one subject may be in the same top container. Example Series: Subject Files >American - Ethics, top container #1 because they are all in the same top container >First Amendment - Persons: John Smith, one top container #2 >Photography - Vietnam, one top container #3 >Vietnam (con't) - West Virginia, top container #4 >Miscellaneous, top container #4 (note, same container as above) Hope this makes sense and is helpful. There is a field ?Unassociated containers?, just select ?Yes? and all unassociated containers will appear. Click the top check box to select all, click ?Bulk Operations? and ?Delete Top Containers?. I would follow Dan?s advise and do it when no one else is working in the system or on Top Containers. It also always you to sort and select specific top containers if you want to target specific ones. The only precaution I take is not to delete them when anyone else is doing work that might involve creation of new top containers on the off chance that they might have created a top container but not linked it to anything in the moment that I ran the search. Unless you have workflows that involve creating new top containers in advance of linking them to records (which is very unlikely, we have an odd use case where we do that under certain circumstances), I can't think of any other potential issues. Afterall, if you have multiple records with the same word as part of the record title it would be impossible to rectify, hence you need the UID. If the agent or subject record is new to the system you can add the full title in the importer and a new record will be created, however, you then have to go into ASpace to fill in the remaining fields for that agent or subject record. If you are adding many new records, there is the LCNAF importer (if you use that) consider bulk importing those first, acquiring their UIDs and then using the UID in the bulk importer for your resource records and/or components. It is not ideal but if you Browse Agents/subjects you can see the URI which containers the UID. If you cannot see that, then you will need to go into your preferences and change/add column to include the URI. After that you can copy and paste just the number or download the list and use excel to extract the numbers if you are doing bulk stuff. Sometimes you must look at workarounds to get what you want. The importer takes action at whatever level of the hierarchy is selected when you create the import job. If you're on a Resource record with no existing children, there is only one option (the resource) and in that case you will always get children of that resource; but if you're on a resource with a series, and you're on the series level when you click to import, the archival objects should be created under that series. I assumed it was the Identifier at the collection level, but I'm getting errors that do not recognize the Resource ID. Alternatively, I used an EAD ID and it worked, but the hierarchy codes are causing errors unless I designate an archival object as level 1. I'm not sure if hierarchy codes only work if a Resource ID is used. I'm not sure if this is an issue with the excel sheet or just user error. We eventually landed on importing them all as individual resource records, but we put them into their own repository. There were many factors we considered, which may not be relevant to your collection, but I will share them in case they are helpful. 1. We are about to implement an integration between Alma (our new ILS) and ArchivesSpace, and we weren?t sure if we wanted to import all archival objects into Alma or just resource records. We knew that we needed the vertical files to be visible, so importing them as resource records was the safer option. 2. We have volunteers that barcode our vertical files and would need access to ArchivesSpace to continue that work. Putting all of the records into a separate repository allowed us to restrict volunteer access to that repository only. 3. We had similar problems trying to determine how we would break up the files into different collections if we imported them as archival objects. We debated a lot of options and looked at examples from other ArchivesSpace PUIs but eventually felt that importing them as resource records would be less confusing to our users who were used to seeing them as individual records in our old ILS. 4. We are also about to implement an integration between ArchivesSpace and Aeon, so we needed to consider how the files would be able to be requested. In that case, it actually would have been better to import them as archival objects so we could turn off the option for patrons to place a request at the resource record level. But once we made the decision to import them as resource records, we knew we had to keep that option in place with Aeon. 5. We have lots of vertical files that physically have more than one folder and adding multiple instances to a single resource record looked clearer in the PUI. We also sometimes digitize material from the vertical files and felt like it would be easier to find and track that material by attaching digital objects to the resource record (I don't have an example of that just yet). Once we made the decision to import them as resource records, it was quite a journey to get the information from the ILS into ASpace because you can?t import top containers using MARC (or at least, I couldn?t figure out how to do it). So we ended up using CSVs and transforming those into EAD files. Because we had 15,000+ files to ingest, we contracted with Lyrasis to load the files, which went very smoothly. We migrated the files about 2 months ago, and haven?t regretted the decision so far, but I realize that?s not a lot of time to truly say that we made the right call. Good luck! We know we need to break it up, and the time has come to decide exactly how. The most rational seems to be to use the alphabet. The number of boxes per letter ranges from 1 box (for Q) to 53 boxes (for M). Boxes seem to max out at around 200 folders. What I'm pondering is whether to create a single resource with separate series for each letter, or whether to create individual resources for each letter. We've gotten advice to avoid having more than 5,000 AO's at the same level to avoid instability in the system, so we may need to break some of the bigger letters down further. We know to avoid using containers and locations as artificial collections. Before we make these basic structural decisions and I thought I'd throw the question out there. Does anyone have experience working with large, non-hierarchical collections like this? Any advice or examples or lessons learned would be much appreciated. You can check to see if you have a failed migration/version update by checking some of the earlier migrations. For example, you can check the db to see if the custom_report_template table has a limit column. That would indicate that migration 151 ran (for example). You might also check to see if the data dump that you got originally has that invalid schema or if its a result of something you may have tried in your dev environment. Register Now for the 9th Annual ArchivesSpace Member Forum We are thrilled to be holding our 9th Annual ArchivesSpace Member Forum in person in the Georgetown room of the Washington Hilton on July 26, 2023, from 9:00 AM - 12:30 PM. In addition to this in-person opportunity to meet, we will also be holding a virtual learning opportunity about new ArchivesSpace functionality on July 18, 2023. Registration is now open for both the in-person meeting and the pre-forum virtual workshop, though the schedule for the in-person meeting is still being developed. Just as in previous years, this will be a free opportunity for staff from ArchivesSpace member institutions to meet and share information with each other and the program team about all things ArchivesSpace. And, no, it seems linked Accessions are not included in EAD exports. By default the API will return the linked Accessions as an array of refs, like this: GET /repositories/2/archival_objects/1 ... "accession_links": [ { "ref": "/repositories/2/accessions/5" }, { "ref": "/repositories/2/accessions/8" } ], ... To get the Accession record(s) included in the response, give it a `resolve[]` parameter, like this: GET /repositories/2/archival_objects/1?resolve[]=accession_links ... "accession_links": [ { "ref": "/repositories/2/accessions/5", "_resolved": { "lock_version": 1, "jsonmodel_type": "accession", ? } }, ... ], ... This is a general rule: if you see a property in a record that includes refs, you can get the referenced records included in the response by giving it a `resolve[]` parameter with a value set to the name of the property. The `[]` part of the parameter name means it is repeatable, so you can resolve as many properties as you like. I hope that helps.
