There is a separate Aeon integration plugin we use for ASpace, which gets the ASpace requests into Aeon so they can be requested from our off-site facility using CAIA. I have heard some conversation about a separate CAIA-ASpace integration, but from what I remember it doesn?t allow you to do a whole lot. I think the main function of that integration was updating locations. So for instance, when we finish processing a collection and send it to be shelved off-site, the integration would trigger an automatic permanent location change for the top containers once they are scanned into CAIA, thus keeping us from having to remember to update those top container locations manually. You might be able to configure the integration to make updates to the temporary location field for top containers as the boxes are sent back and forth, but I?m not sure. This configuration page provides a bit of additional info: https://portal.caiasoft.com/apiguide.php?serv=external&rec=4&oper=configarchivespace Happy to speak more if you?re interested. The Technical Advisory Council (https://archivesspace.org/governance-board-and-councils#TAC) is a critical part of the ArchivesSpace community, having responsibility for providing technical guidance to individuals or organizations contributing to application development, to the User Advisory Council, and to the ArchivesSpace Governance Board. While the idea of the Technical Advisory Council may sound a bit intimidating at first, membership in TAC is typically more focused on the experiences/workflows/needs/interests each member brings to the group rather than their technical abilities. At their core, TAC subteams focus on maintaining documentation, guided software testing, and reviewing enhancements. It's in these areas that your experience with ArchivesSpace can be invaluable. TAC's current activities include: *Reviewing user-submitted enhancements and priorities for the application, in collaboration with the User Advisory Council. (Development Prioritization) *Conducting user-centered testing of the application prior to releases, in collaboration with the User Advisory Council. (Testing) *Documenting the metadata standards used by ArchivesSpace and monitoring the standards landscape. Based on community feedback, we recognize that the ArchivesSpace Virtual Member Forum did not always meet that standard. We would like to take this opportunity to apologize and to address our course of action following the forum and into the future. We received two forum evaluations expressing concern about harmful language and images verbalized and displayed during the session ?Contextualization and Repair at Rauner Library.? In accordance with the ArchivesSpace Code of Conduct, ArchivesSpace Program Manager Christine Di Bella, Community Engagement Coordinator Jessica Crouch and members of the User Advisory Council Member Engagement sub-team reviewed these comments and have agreed to the following course of action: * Copies of the presentation recording and slides will not be made available online. * Going forward ArchivesSpace will require all presenters to fully redact harmful language and not use harmful images in their presentations, not just provide content warnings, regardless of the context. This applies to both written content and verbal communication during presentations and the associated Q&A. We apologize for the harm this presentation caused. We believe the ArchivesSpace community and application can only be made better by providing a welcoming and safe community experience for all of our members. We dropped the ball during the forum. We appreciate the opportunity to correct this error and move towards an even stronger and more inclusive community experience in the future. I am attempting to do some plugin development using RubyMine, however, I am running into an inability to use RubyMine's debugger, as I can't figure out how to effectively attach it to the process. This appears to be a dependency issue, for reasons I will explain below. The only information I've found in my research that appears to maybe be relevant is a 2016 post to this listserv, linked below http://lyralists.lyrasis.org/pipermail/archivesspace_users_group/2016-February/003131.html In accordance with some of the discussion in that thread, I've set my project root to be the root of the archivesspace install, in my case, /opt/archivesspace That said, I'm not overly familiar with Ruby, so I'll acknowledge that much of this goes over my head. Right now, within Rubymine, I'm attempting to use the following run configuration. * Template: Rack * Server: Default * IP Address: 127.0.0.1 (Archivesspace is running locally) * Port 8081 * Rack config file: /opt/archivesspace/gems/gems/rack-2.2.3/lib/rack/config.rb (This is the setting I'm least sure of) * Use Project SDK * Bundler: Auto-detection When I try to run with this configuration (run OR debug), I get the following error message: /usr/lib/ruby/vendor_ruby/rubygems.rb:265:in `find_spec_for_exe': can't find gem rack (>= 0.a) with executable rackup (Gem::GemNotFoundException) from /usr/lib/ruby/vendor_ruby/rubygems.rb:284:in `activate_bin_path' from /opt/archivesspace/gems/bin/rackup:23:in `
' I've installed ruby-dev, as well as several other packages I've seen recommended for similar issues on Jetbrains threads. I've linked the output of apt list|grep ruby below https://pastebin.com/K013fySR running Archivesspace directly, rather than through the IDE works fine. Based off the information in the 2016 email thread, my understanding is that, while ruby/rubymine has all the gems it needs in order to run archivesspace in this context, it's missing a manifest file specifying where those gems actually are. Can anyone more familiar with either the Archvivesspace project structure, or Ruby in general shine some light on what may be happening here? I mistakenly indicated that we need 1 candidate at the ?Medium? level when in fact we are seeking at least 2, just as we are at the ?Very Small? and ?Large? levels. We have begun to receive some nominations already and I would like to take this opportunity to encourage you nominate a colleague (or yourself!) for potential board membership. It really is an excellent way to learn first-hand how boards operate while also serving the ArchivesSpace community. The deadline for nominations is two weeks from today, April 28. Thank you for participating in this important process! Sean Quimby Associate University Librarian for Special Collections University of Pennsylvania Libraries 3420 Walnut Street Philadelphia, PA 19104-6206 e. smquimby at upenn.edu ? Dear Members of the ArchivesSpace Community: As chair of the 2023/24 ArchivesSpace Nominating Committee, I seek your nominations of candidates to stand for election for the ArchivesSpace Governance Board representing the Very Small, Medium, and Large membership levels. The Governance Board is charged with providing oversight for the ArchivesSpace application and community, including fiscal oversight, the approval of development priorities, and oversight of the Technical and User Advisory councils. Board service is an excellent way to serve the ArchivesSpace community while also gaining valuable experience with organizational governance. Please see the full descriptions of the responsibilities of Board members for more information on this key role in the ArchivesSpace community. This year we are seeking 2 candidates for the Very Small level and 2 candidates for the Large level. While the current incumbent at the Medium membership level is running for re-election, we are also seeking 1 additional candidate at that level. The terms for all successful candidates will be July 1, 2023-June 30, 2026. Each newly elected member representative will be eligible to run for a second term, July 1, 2026-June 30, 2029. Governance Board nominees must be currently employed by an ArchivesSpace member organization in either the Very Small, Medium, or Large member levels (see the member lists at: http://archivesspace.org/community/whos-using-archivesspace/). A variety of skills, interests, and experience can be useful in furthering the Board's mission. As the community for a software application used in many different settings, we seek diverse voices in working to improve ArchivesSpace and support those who use or may benefit from using it. We especially encourage Black, Indigenous, and People of Color, and others currently less represented in our governance groups to consider joining us in these important leadership roles. To submit nominations, including self-nominations, please submit this form athttps://forms.gle/XCW92iEPMmQVWhXN9. Nominees who confirm their interest will be requested to supply a candidate statement outlining their qualifications for serving on the ArchivesSpace Governance Board. The Nominating Committee will review all nominations and confirm a slate of nominees with the current Governance Board. An election ballot will be circulated to member institutions in mid-May. Nominations must be received by 9:00 p.m. EDT Friday April 28th. Please contact Christine Di Bella, ArchivesSpace Program Manager, at christine.dibella at lyrasis.org> or any member of the Nominating Committee with questions. Thank you for your participation in this important process, which is an essential part of our identity and operations as a community-based software organization. To test this theory, navigate to System > Manage Controlled Value Lists > Date Type (date_type) and see if you have an extra date type there. This is a common issue that I see when using the spreadsheet importers. Unfortunately, if you do have an invalid date type on those records, I do not believe there is any way to solve this from within the interface; I?ve found solutions through the API and the database directly. You do mention that you can delete the DOs; that?s another solution. When scanning the barcodes, collect them in some form that a custom script can read from - even a plain text file would work if your circulation stats are low enough. I think two pieces of data would do it - barcode and timestamp. Then create a script that uses the ASpace API to harvest the data you need for your reports. The data you need is spread across multiple tables, so crafting the script will be a bit complex and may involve multiple calls to the API for each container (though you may be able to resolve everything for a specific barcode in one call - not sure about that). The script could then write the resolved data to a circulation stats file. Run that script periodically and use the timestamp of the circ stats file to filter the barcode data file to just the new entries in the barcode file. A database would be a much better fit for gathering the data, but it could be done with plain files. We have something sort of similar via a plugin (that also does a lot of other things). I'm happy to share the plugin to spark ideas, but it won't? work in a vanilla ASpace instance since its so heavily customized to our specific use case and has dependencies on a bunch of other very customized plugins that we use. The pandemic contributed to a pause in updates. Now that we are back to ?normal? we need to move to the latest version on a REHL 8.6 server. I am trying to work out the order in which do things to get the new server up and the data moved. I know we?ll need to set up the application and Solr on the new server. What I am trying to puzzle out is the best way to move the data. We can do a database export from the old server and then import it into the new server. The question I have is this, how do we go about the database updates. Do we need to update the old server and run the script and then export the data or can we move the data as is and then run the updater script in the new environment? Any insight would be invaluable. I know we will also need to reestablish our SSO, reimplement plug-ins, and then eventually cut over our DNS. Is there something I?m not thinking about? Copy the database over to your new server, run it through the upgrade process, and then make sure indexing works. Test that everything is working as you want it. As long as the names are different between the new and old, you can test as much as you want. Once you know everything is working as desired/expected, *then* do the production copy/index processing and cut over DNS. The testing could take a while. There are quite a few changes between 2.7.1 and 3.3.1, not the least of which is getting Solr running separately. This also fits with my vague understanding that it used to be impossible to have fields indexed in only the staff side (it was both or neither), but that this was something that could be done now (or will be possible in the near future). All the best, Dan On Tue, Apr 25, 2023 at 8:36?AM Joshua D. Shaw > wrote: Hey all I think? that this is systemic and has probably been an issue forever. The way that the fullrecord is built by the indexer basically accumulates the data from every field (save some explicitly excluded) regardless of publish state. See https://github.com/archivesspace/archivesspace/blob/v3.3.1/indexer/app/lib/indexer_common.rb#L126 Because the PUI inherits from indexer_common, there are also places where related objects and the json for the record are not checked to ensure that subrecords with the publish flag set to false are excluded from PUI index fields. For example https://github.com/archivesspace/archivesspace/blob/v3.3.1/indexer/app/lib/indexer_common.rb#L1156 Looks like there is at least one very old outstanding ticket that addresses this: https://archivesspace.atlassian.net/browse/ANW-261 jds ________________________________ From: archivesspace_users_group-bounces at lyralists.lyrasis.org > on behalf of Benn Joseph > Sent: Friday, April 21, 2023 4:22 PM To: Archivesspace Users Group > Subject: Re: [Archivesspace_Users_Group] Rights Statement notes indexed in PUI even if unpublished Hi Dan, Confirming that we are also seeing unpublished accession records being indexed, resulting in hits on any linked published records (we?re on 3.3.1). --Benn From: archivesspace_users_group-bounces at lyralists.lyrasis.org > On Behalf Of Dan Michelson Sent: Friday, April 21, 2023 3:15 PM To: Archivesspace Users Group > Subject: Re: [Archivesspace_Users_Group] Rights Statement notes indexed in PUI even if unpublished Hi Benn, We actually just noticed the same issue today, except with unpublished accession records being indexed, which results in hits on any linked published records (credit to my colleague Michelle Paquette for working out where the indexer was pulling from). I suspect this issue may be systemic, but haven't had the opportunity to test it out. From /locales/en.yml: ?name_corporate_entity: &agent_corporate_entity_attributes ??? <<: *agent_name_attributes ??? subordinate_name_1: Subordinate Name 1 ??? subordinate_name_1_tooltip: | ???????

A hierarchical unit with the corporate entity named in the Primary Name field.

???????

Examples

???????
    ???????
  • Microelectronics Division (for International Business Machines. Microelectronics Division)
  • ???????
??? subordinate_name_2: Subordinate Name 2 ??? subordinate_name_2_tooltip: | ???????

A hierarchical unit with the corporate entity named in the Primary Name field and lower than the unit named in the Subordinate Name 1 field.

My question is:? Is it possible to add two more Subordinate Names? subordinate_name_3, subordinate_name_4? Or would I have to use a User Defined attribute for this?: ?user_defined: &user_defined_attributes ??? boolean_1: Boolean 1 ??? boolean_2: Boolean 2 ??? boolean_3: Boolean 3 ??? integer_1: Integer 1 ??? integer_2: Integer 2 ??? integer_3: Integer 3 ??? real_1: Real 1 ??? real_2: Real 2 ??? real_3: Real 3 ??? string_1: String 1 ??? string_2: String 2 ??? string_3: String 3 ??? string_4: String 4 ??? text_1: Text 1 ??? text_2: Text 2 ??? text_3: Text 3 ??? text_4: Text 4 ??? text_5: Text 5 ??? date_1: Date 1 ??? date_1_inline_help: e.g. YYYY-MM-DD ??? date_2: Date 2 ??? date_2_inline_help: e.g. YYYY-MM-DD ??? date_3: Date 3 ??? date_3_inline_help: e.g. YYYY-MM-DD ??? enum_1: Controlled Value 1 ??? enum_2: Controlled Value 2 ??? enum_3: Controlled Value 3 ??? enum_4: Controlled Value 4 ??? _singular: User Defined ??? _plural: User Defined (I'm sensing it's the second option here, that locales just applies labels, does not actually create fields in the database.? You can download it at https://github.com/archivesspace/archivesspace/releases/tag/v3.4.0-RC1 or test it out without downloading at http://test.archivesspace.org/staff (username admin /password admin). This release candidate includes many bug fixes and feature enhancements. Of particular note are enhancements related to creating digital objects and making it easier to identify digital content for and in the public interface. The most complex work relates to new functionality using the previously unused Make Representative button. Based on a community-authored specification, it is now possible to mark a particular file version on a digital object or digital object component for display on different types of records, including digital objects, digital object components, accessions, resources, and archival objects. Representative images also display in relevant browse and search result displays in the public and staff interface. Draft documentation for how to use this functionality is available for reference and comment. Other enhancements for digital objects include the option to set a preference to spawn description fields from the linked accession, resource or archival object record when creating digital object instances; a View Digital Material section added to the "pill" for resource records in the public interface when there is digital content within the resource; breadcrumbs that make the context for linked digital objects easier to see in result displays; and a more recognizable generic button for digital content when an image cannot be shown. Enhancements not related to digital objects but still significant include work submitted by Hudson Molonglo that it did for Princeton University to add local access restriction fields to the spreadsheet importers and RDE, and include URIs in EAD exports; more attractive print displays for records, including accessions; a new CSV import for standalone subjects; internal note fields for top containers and container profiles; and the elimination of a bug that caused hover text for the Help Center to sometimes appear at inopportune times. A particular thanks to our Testing sub-team for their work testing individual JIRAs, the Make Representative functionality, and doing regression testing across the application. Additional thanks to our User Documentation sub-team for their feedback on the Make Representative functionality. Because of the potential impact of the Make Representative functionality and other features related to digital objects, we highly encourage you to test this release candidate with your own data if you can. We will be holding the feedback period open for longer than usual as a result. Please send us comments or questions at ArchivesSpaceHome at lyrasis.org by May 15. Based on the results of this feedback period, we will determine when to release the production version of 3.4.0. Please get in touch if you have any questions. Feel free to contact us at ArchivesSpaceHome at lyrasis.org to discuss the program or to enroll. Recording Available: Using the ArchivesSpace Public User Interface Thank you to everyone who attended our training on using the ArchivesSpace Public User Interface on April 19. The recording for that training is available to ArchivesSpace members via the Help Center at https://archivesspace.atlassian.net/wiki/spaces/ArchivesSpaceUserManual/pages/3185901569/ArchivesSpace+Training+Recordings. Membership Renewals for 2023-2024 ArchivesSpace is developed by and for the community that uses it, and strengthened by services and activities that support our community and connect us to one another. ArchivesSpace membership is our primary source of revenue and informs and sustains every aspect of the program, including software development, support and engagement. A special thanks to all of our members for all they do to make ArchivesSpace possible. Though it feels like the calendars just turned a little while ago, we are already thinking about the next membership year for ArchivesSpace. We expect to be sending out our renewal invoices for 2023-2024 in early May. While we have shifted our billing to accommodate the growing number of requests for earlier invoicing, it is not a problem if you prefer or need to pay closer to the July 1 start date of the term. Invoices will be sent to the billing contact we have on file. If you are a member and not sure of your billing contact or if your billing contact has changed, please let us know. If you have any questions, or if you would like to join as a new member for the remainder of the 2022-2023 membership year (or already know you would like to join us in 2023-2024), please let us know at ArchivesSpaceHome at lyrasis.org. We look forward to another year of working together. Membership Update We are excited to welcome our newest members to our community! Our new members since March include: * Afro Charities, (Baltimore, MD) * Bryan-Lang Archives, (Woodbine, GA) * Gettysburg College, (Gettysburg, PA) * Pratt Institute, (Brooklyn, NY) - Educational program membership As of April 28, we have 473 General members, 17 Educational Program members, and 3 Registered Service Providers. Thank you to our current ArchivesSpace members for your contribution to the development and sustainability of the ArchivesSpace application. Date: Fri, 28 Apr 2023 19:31:30 +0000 Subject: [Archivesspace_Users_Group] The best way to implement Solr - confused by documentation Message-ID: Dear Friends, In relationship to my previous message about moving our ArchivesSpace to a new server I am in the process of setting up Solr in our test environment and having troubles. I set up Solr as outlined at https://solr.apache.org/guide/solr/latest/deployment-guide/taking-solr-to-production.html; specifically running the install script that places all files in the correct places, makes a solr user, and sets the start-up process. Solr installed fine but I could not make the ArchivesSpace core using the process laid out at https://archivesspace.github.io/tech-docs/provisioning/solr.html; I got an error. Now here is where I have found a contradiction. The ArchivesSpace documentation instructs you to follow the Solr documentation. The Solr documentation says to run the script but that starts Solr while the ArchivesSpace documentation goes onto says to not run Solr before importing the ArchivesSpace configuration files. Which is accurate? I have rolled my testing environment back and am trying again. In trying to get a better understanding I looked at Blake?s video at https://www.youtube.com/watch?v=1KbD0M_XfqI. In the video he says to simply move solr to /opt and you?re done, no need to run the script. Is that the case? Perhaps I am over thinking this but don?t you need to script to set up all the things Solr need like it?s own user and init file. The Solr document says you can start the software from anywhere (ie your home directory) but they call it a ?toy? install and cautions you not to overtax it suggesting you should test that way but run a full install. As I roll up my sleaves to try again any guidance would be most helpful. Thanks in advance for your help! [Towson University logo] Eric T. Let me make sure I understand? 1. Download ArchivesSpace, stick it someplace? let?s say /opt 2. Download Solr , stick it someplace? let?s say /opt 3. mkdir -p /$path/$to/$solr/server/solr/configsets/archivesspace/conf 4. Copy the configutrtion files from ArchivesSpace to /$path/$to/$solr/server/solr/configsets/archivesspace/conf 5. solr start -p 8983 6. solr create_core -c archivesspace -d solr Then I would need to define the Solr path in the ArchivesSpace config file and start it. What would be your suggestion on how to make Solr survive a reboot? Thanks again! [Towson University logo] Eric T. Gadsby Pronouns: he/him/his IT Operations Specialist | Albert S. Cook Library ?
