The ?See more? functionality for ?Scope and Contents? sub notes does not work for sub notes that contain unordered lists. EAD lists render as unordered lists. However, when a sub note with a list is truncated (or unexpanded) the list is not hidden with the other extra text. As far as I can tell, the script responsible for truncating sub notes and the ?See more? action, readmore.js.erb , does not handle unordered lists. Has anyone else experienced this issue and should I file it in JIRA? I'm relatively new to our library and to ArchivesSpace generally, but I've been told it's been slowing bit by bit for a few years, and the problem has escalated just in the past few weeks. Neither full re-indexes nor our nightly re-starts seem to help. I'm aware of this page on tuning , which has been quite helpful in addition to suggestions already posted to this list. We're hopeful that moving to external Solr with our next upgrade will also help (currently on 2.7.1), but are still trying other measures just in case it doesn't. While we look more into general best practices for tuning our hosting environment, I'd also like to check with all of you to see if there are common issues that are more specific to ArchivesSpace that we have overlooked and should focus our attention on. Here are a few of our key settings. Our Java memory variables are below. I get the sense that they are higher than average, is that so? Anna Robinson-Sweet at UCLA, Wendy Scheir at the New School, and James Bullen at Hudson Molonglo would be able to provide more details about the plugin and what it can do (presentation link for anyone interested: https://www.youtube.com/watch?v=LQW1qB_6VGI). Another option would be to write a script to use the ASpace API to reposition the archival objects in alphabetical order. You could use the Get the children of an Archival Object endpoint (https://archivesspace.github.io/archivesspace/api/?python#get-the-children-of-an-archival-object) to get a list of all the archival objects in the series, then use the script to alphabetize that list and change the "position":### field to match the order of the alphabetized list. Then use the Update an Archival Object endpoint (https://archivesspace.github.io/archivesspace/api/?python#update-an-archival-object) to push the updated archival objects in their new positions to ASpace. If there are no follow-ups in a week, I?ll try to spin up my local ASpace instance and test that plugin to see if it does what you?re asking. It sounds like the API might be the right route for you. What I had been thinking to suggest--since for us using the API means enlisting help from another over-worked department--was a longer process, where you'd export the spreadsheet, re-sort in Excel or Open Refine, import this as though a new series, deleting the other one. We do not use EADID. The guide does not list it as required either. I a also being told that the top container indicator and container type combo already exists for the AO in the resource. However, there are no containers for the resources, that is what I am attempting to create. The AOs were newly created. Not sure what I am missing. Example of error message: This row is missing an EAD ID: (see baaf89304b0c04940c3bf4ad46864c94 in row 18); The Top Container Indicator and Container Type combo box 14 already exists in the database for an AO in resource (see baaf89304b0c04940c3bf4ad46864c94 in row 18). I have a number of accessions for which copyright interests have or will transfer to the repository after a specified term or event, e.g. 30 years or death of the donor. I'm looking for a good place to put that information in ASpace, preferably in a form that shows up in one of the default reports. Using event records, specifically the Copyright Transfer event type, seems like it may meet our needs to a) capture basic data about the transfer and b) generate an ?Accession with Rights Transferred? report. That said, I?m not super familiar with event records and don?t know if that?s a preferable solution. Does anyone have experience they?re willing to share about how they have (or are thinking about) approaching tracking and documenting copyright transfer? (FWIW, the majority of the accessions in question comprise moving image materials.) I?d love to hear what others are doing and how ASpace fits into their workflows for similar situations. This is something we?ve recently had to deal with ? I?m not 100% sure from what you?ve posted that it?s the same issue we had, but there are a few issues with the PUI?s current PDF generation support that make font handling challenging. So, first of all ? if you?re setting up a fallback hierarchy and the font with Japanese characters isn?t in the first position, the PDF generation library isn?t seeing it at all. The flying saucer ipdf library doesn?t support font fallback, which is a real problem if you need to support multiple languages. So, first thing I?d try is making sure that the text in question is _solely_ the font supporting Japanese. If the Japanese characters render, that?ll at least verify that that?s the reason. Our solution, which I?m hoping to work up and submit as a pull request, was to replace the existing library with https://github.com/danfickle/openhtmltopdf - a project based on flying saucer but with several enhancements. I am definitely not the most qualified person on this listserv to answer your question, but I can share what we?ve done in our instances and my experience with this, and what I?ve learned over the years. First the number of indexer threads should be keyed the number of CPU cores you have on a given machine. You list 7?is that how many cores you have? The Java XMX is the Java heap size. Your value seems quite high, unless you have that much RAM available for the application. You can check on your server by running the command ?free? or checking with your IT department. Another key thing to note if you are running version 2.7.1: there is a bug in older versions of ASpace that means that the application does not respect the *solr* log level you have in your config file. I had to find a workaround for this by changing the log level at the server level in Java settings for Solr. This of course isn?t an issue in recent releases because solr isn?t part of ASpace anymore anyway. But the effect of this bug without altering server settings is that the logs are really noisy with solr stuff and this can impact performance. I?m not 100% sure from what you?ve posted that it?s the same issue we had, but there are a few issues with the PUI?s current PDF generation support that make font handling challenging. So, first of all ? if you?re setting up a fallback hierarchy and the font with Japanese characters isn?t in the first position, the PDF generation library isn?t seeing it at all. The flying saucer ipdf library doesn?t support font fallback, which is a real problem if you need to support multiple languages. So, first thing I?d try is making sure that the text in question is _solely_ the font supporting Japanese. If the Japanese characters render, that?ll at least verify that that?s the reason. Our solution, which I?m hoping to work up and submit as a pull request, was to replace the existing library with https://github.com/danfickle/openhtmltopdf - a project based on flying saucer but with several enhancements. "It Depends" is about the only answer for those settings. If you have really deep/complex resources you'll probably want to change those up. Try slowing it down a bit. Try 2/50 or 2/25. You could even slow it WAY down to 1/1. It'll take forever to finish, but you can see exactly what it's doing each time. BUT If your site was OK and now it's not, maybe something else has gone wrong. Check your logs. Make sure you're running the log_level on debug to catch everything possible. - Look for ERROR or FATAL, maybe Java out of memory errors? Sometimes there will be an Error or error but it's usually ERROR -Is your indexer just running forever? Maybe it's caught in a crashing loop? "grep Indexed" do those numbers keep going up and down? You sould see: Indexed 102303 of 102303 archival_object records in repository Only once, you don't want to see that count going up and up and then suddenly Indexed 1 of 102303 archival_object records in repository - Also check your proxy logs, maybe there's a bad bot hitting the PUI way too hard. - Also just check that the server doesn't have anything new running and using up all the resources. Neither full re-indexes nor our nightly re-starts seem to help. I'm aware of this page on tuning, which has been quite helpful in addition to suggestions already posted to this list. We're hopeful that moving to external Solr with our next upgrade will also help (currently on 2.7.1), but are still trying other measures just in case it doesn't. While we look more into general best practices for tuning our hosting environment, I'd also like to check with all of you to see if there are common issues that are more specific to ArchivesSpace that we have overlooked and should focus our attention on. The flying saucer ipdf library doesn?t support font fallback, which is a real problem if you need to support multiple languages. So, first thing I?d try is making sure that the text in question is _solely_ the font supporting Japanese. If the Japanese characters render, that?ll at least verify that that?s the reason. Message-ID: Hello all, I was wondering if any other institutions may have a need for extending some local access restriction (attached to the Conditions Governing Access note) functionality to digital objects. I realize that local access restrictions were developed to facilitate container management. They work great for flagging boxes as restricted and integrating with a system like Aeon. My institution is revisiting some of our local access restrictions. Since we developed our specific local restrictions a number of years ago, we began using more digital objects to document born-digital/digital materials. We want to restrict some digital objects' access to the reading room. If you apply a local access restriction to an archival object with a container instance, the local access restriction is visible in the top container's record in the SUI. I was wondering if there might be interest in a similar feature so that a local access restriction could be visible in the digital object record. Right now, if you apply a local access restriction to an archival object with a digital object instance, you can only tell it is restricted if you view the object through the finding aid. I can see how this could get messy if you have both top container and digital object restrictions. But it does seem like a feature others could find useful too. I'm trying to determine if this is something we have misconfigured on our local servers or if this is something inherent to the newer versions of ArchivesSpace. We initially noticed it mostly with large records, but additional testing shows that it is happening in general. Our platform for testing has similar resources (memory, processor) as our 2.8.1 version, but exports are taking much longer than expected. My initial thought was that the external Solr might be at issue, but searches in the PUI seem to work as expected and are not overly slow. Also looked at our database instance, but again that is similar to our production service and seems to be working ok. So I'm at a bit of a loss as to why exports are showing this slow response. Are others seeing anything like this? Any thoughts of other places to look for issues? In-Reply-To: References: Message-ID: Hi Karen and Paul, 2 ways come to mind for me: 1) Using the database, if you have access to it. 2) Using the API. For using the database, it would be the quickest and easiest provided you have access to it via your hosting provider. If you do and are familiar with SQL, something like the following would work: SELECT * FROM archival_object WHERE root_record_id = 704 AND (level_id = 892 OR level_id = 890) root_record_id is the ASpace ID for the resource you are trying to isolate. level_id is whether the archival object is a ?item? or a ?file? ? in the example, it searches for objects with either ?item? or ?file? level. I use MySQL Workbench and it gets me the # of objects returned for a quick and easy count. For using the API, you don?t need special permissions from your hosting provider, so you can access the API just as easily as you would any data from the staff interface. This would be more involved, as you would need to write a script to execute, but if you?re familiar with Python or something of the like, it can be done. There are 2 endpoints that would seem useful for this: Get the list of URIs of this published resource and all published archival objects contained within, or Fetch tree information for the top-level resource record. The first endpoint would be good for getting all items that are published in a collection, but may include archival objects that are Series, sub-Series, etc. (aka not real items) and it excludes unpublished items. The second gets top level items, but if you have series, sub-series with children, then you would have to iterate through each of those to get an accurate count of every item (published or unpublished). Thankfully that endpoint gives you the data to point to those series/parents of children as precomputed waypoints, I believe, but it?s the more involved of the 2 endpoints to get right. Here?s an example when I used that endpoint to get all item counts that were greater or equal to 1000. Paul?s way of doing it is straightforward and easy, so if that works, then that?s what I would recommend. Some years back, they asked for a way to be able to 'catalog' their holdings online. Then we were using Archon and they wanted simply be able to look at paintings and their 'accession' record. I was a little concerned about the accession record being public but their staff had no issue with it. So I just did simple listing of the object, with scans of the painting and of the form. Later these transferred to ArchivesSpace when Lyrasis managed a transfer for us. Some years back, they asked for a way to be able to 'catalog' their holdings online. Then we were using Archon and they wanted simply be able to look at paintings and their 'accession' record. I was a little concerned about the accession record being public but their staff had no issue with it. So I just did simple listing of the object, with scans of the painting and of the form. Later these transferred to ArchivesSpace when Lyrasis managed a transfer for us. As part of the spawning improvements, the plugin Hudson Molonglo developed for The New School Archives and Special Collections to link accessions to archival objects has been incorporated into the core code of ArchivesSpace. Welcome ArchivesSpace?s new Front-End Developer, Brian Zelip ArchivesSpace is excited to announce that Brian Zelip will be joining ArchivesSpace as the Front-End Developer. Brian has been working with ArchivesSpace as a part-time contractor since January 2020 and has contributed a number of pull requests to improve the staff and public interfaces, particularly as it relates to javascript. As a librarian rooted in cultural heritage work and committed to open source, Brian has shown himself to be a user-oriented developer and we are excited to have him join the ArchivesSpace team full time. Brian?s previous positions include Assistant Director and Emerging Technologies Librarian at the University of Maryland Health Sciences and Human Services Library. This is a new position approved by our governance board designed to help augment our team and increase our ability to be responsive to requests to improve the usability and accessibility of the interfaces. Training Announcement: Using Data Import, Export, and Report Functionality in ArchivesSpace ArchivesSpace will be offering our next community-wide training on November 9, 2022, from 12pm-3pm ET/9am-12pm PT. This training will cover import, export and report functionality in ArchivesSpace. At the end of this session, participants will: * Understand the data import options available within the ArchivesSpace staff user interface and how to access import templates * Know how to import new data into ArchivesSpace using the staff user interface * Know how to use data import functionality in the staff user interface for legacy data clean-up * Understand the data export options available within the ArchivesSpace staff user interface * Understand how to create custom report templates within ArchivesSpace * Understand how to run out-of-the-box and custom reports within ArchivesSpace This training assumes a basic understanding of archival workflows and metadata formats as well as experience navigating the staff user interface. Recording for ArchivesSpace Train-the-Trainer for Archival Educators now available On September 13 we offered a special training session for archival educators that provided an overview of the ArchivesSpace application as it relates to archival functions commonly taught in intro and more advanced archives coursework. The session also included information on our free ArchivesSpace Educational Program membership. The recording of the session is now available. We hope to offer additional sessions specifically for educators as they teach their students archives fundamentals and prepare them for life after graduation.
