In some collections they are really out of order, i.e. folder 10 of a box ahead on folder 3. I have attached a screenshot from a collection. This one is not as out of order as some. They are in order on the backend. They just show up out of order in the PUI. We had hoped the problem would be solved with upgrading, but the problem still persists. We are using version 2.3.0. There was a validation error somewhere in one of the finding aids the kept the records from being indexed. we solved this issue using the HM data checker plugin at https://github.com/hudmol/asck to locate and fix the error. After installing the plugin, we used the staff UI to run a background job to check our data. We?re also in a weird in-between stage because our web services has been harvesting an HTML scrape for their bento box discovery layer as well. We ran into a snag earlier, because it seemed to be recalling duplicate records via OAI-PMH for our web interface. (I?m hoping upgrading to the latest version will help this). My criticism so far is that it is so easy for archival objects to get completely buried in comparison to the online articles, books, media, and other content. Usually, I have to specifically scope the results to get ?archival materials? when trying to use Summon. I didn?t exclude Agents and Subjects (although perhaps I should), but from my experience, the bigger problem is that I have to dig so deep in the searches to even find ASpace records. For people who are curious, this is our catalog page: https://lib.msu.edu/ Summon results happen in the top left box (Once searching for something, click the ?See more? for Articles box). We also create collection-level catalog records, which often show up in the ?Books & Media? section, although that doesn?t index keywords that aren?t represented in the catalog record. We have a more nuanced search function on our Special Collections? page (hey, that?s me in the picture!): https://lib.msu.edu/spc/index/ It tends to pick up (almost to a fault), everything we have in ArchivesSpace in a dedicated ?Archival Collections? box, which often includes a plethora of subjects. We were using Archivists' Toolkit prior to AS so some of these terms were familiar to people. It take a little bit of time to adjust, but I found that linking these terms to the concepts they already knew was helpful. Most obvious was that a resource records was AS speak for finding aid. As Christie said knowing how the records work together helped as well. I am happy to share some of my wiki documents with you if you like. Assuming all that, then those first two lines will hide the accession and classification badges on all 5 repository homepages in the PUI. Have people use the ToolTips (roll-over text) that explains what should go into any given data field ? and make access to the online documentation easy for all staff using ASpace. A particular challenge at this stage in the AS application development is that the rendering on the staff side isn?t what is expected and so the desire to put data into the incorrect fields (but fields that render on the screen) is great. I find that using the VRA Core metadata model is helpful for illustrating the ArchivesSpace models of the Resource, Instances, Archival Objects, Containers, etc. I think especially for the Instances, this model is useful. We have collections where we might have 4 or 5 instance of the same Archival Object and I believe that it?s useful to understand that the Archival Object is the intellectual idea of an object ? the instance is the physical manifestation of that Intellectual idea, and the containers are where those instances are located. Multiple instances can be linked at the top (Resource) level of a record or at an Archival object level ? all depends on your collections. But what is allows for is not having to have a separate Archival Object for each physical TYPE of thing, just one Archival Object that has many instances. For an example: Resource = Collection of My Best Audio Recordings (1976-1988) Linked Accession = Today I received 5 reel to reel tapes of recordings Linked Accession = last month I received 5 CD-ROMs from reformatting of reels Archival Object = My favorite performance done using a Theremin (1) Instance = Reel to Reel recording Container ? A parent could also be the box that a child reel/folder/box within the parent box Classifications Container Profile Basically, the type and dimensions of a container. However, PDF generation in the staff webapp is dependent on the resource producing valid EAD that gets piped to XSLT-FO stylesheet, so if you are having problems, it?s a good idea to export EAD first and try to validate the xml. I know of some cases where mixed content in a resource note will generate invalid EAD. ? There's one major hurdle. We migrated from Archon to ArchivesSpace with the first migration tool, and our only container instances are nonsensical records created by the import. In most cases, our intellectual description matches up with the physical location, which means if I can see the series number and folder number I can find the item. I'm hoping to find out whether we can somehow force the public interface to display the component unique identifiers which do not appear when I look at finding aids in the public interface (or in the staff interface without viewing the particular record). It's going to be quite some time before I can modify every finding aid and add containers, so I'm hoping in the meantime there is a temporary fix that doesn't require me logging into the staff interface (or going back to Archon) every time a patron requests something. Our library uses a unique identifier for locations called a RMST number (Range Module Shelf Tray), I think it's a standard unique algorithm for high-density storage. This is at present exclusively used at our offsite storage facility, but we intend to adapt the approach to our onsite collections, too. So yes, big picture, I think the idea of assigning unique identifiers to your locations is a good one. A couple caveats you may have already considered: * Think about decoupling your container unique ID from your location ID. More flexible if you have to move stuff around. * Manage your location unique ID in ASpace's locations module, not in container management. * Barcodes are not semantic character string, so barring some catastrophic failure of ASpace/your inventory management system, you may not be able to find your stuff. In fact, it?s about all we consider it to be canonical for anymore, since the data model is very inhospitable to archival collections (duh). The reason why our ILS continues to be the canonical inventory management system is because our storage facility includes non-archives stuff too, and a staff that services it all. In other words, some of the library?s content is managed in ASpace (i.e our collections), but of course not all of it is. Might be different for you if your storage facility is going to be SC only, although I see advantages at the library level to having all of a library?s inventory managed in one system. The challenge we are facing in 1-2 years is, were we to implement this RMST system I describe, how is locations data mirrored in our ILS and ASpace programmatically, and how are updates to locations mirrored in the two systems. Is there a top container linked to the location(s) you're trying to delete? If there is, being prevented from doing this is intended behavior, though the opaque error messaging is not and needs to be fixed. While troubleshooting what was a Solr issue, we were trying various ways of deleting files from the data directory, but found that we needed to completely empty it out, since we were upgrading to the new PUI for the first time. Container edits to existing collections and new collections are not reflected in the Collection organization window. General information made to the resources are reflected just fine and work properly. The collection organization area shows the old data, almost like the indexes weren't matching up. One suggestion we saw on the listserv was to delete and reindex Solr. We did this on our development instance and now Collection organization window is completely gone and the Collection Organization (middle tab) doesn't function. In troubleshooting, we also see this error pop-up when you click the back button after going from tab to tab in a collection. May be unrelated, but wanted to include just in case 'Your request could not be completed due to an unexpected error' >From the Sys Admin 'Here is what I've tried so far, in the order we tried them. For a project, I am experimenting with adding some very granular data and would like to use EAD3 because of the @localtype attribute. I exported EAD3 from ArchivesSpace, did some modification, and then tried to import the EAD3 back into ArchivesSpace. While the EAD3 validated outside of ArchivesSpace, I keep receiving the following error message "instances / 0 / sub_container / type_2: container 2 requires both a type and indicator," despite clearly having both a type and indicator in the EAD3. Any insights or suggestions would be greatly appreciated! Essentially, adding our institution's name to a keyword search in order to narrow the search results is useless. Does anyone have suggestions or workarounds? I'm assuming we're not the only university archive in this boat. If anyone has any insight into this, help would be appreciated. What follows is from my users and myself, synopsized. "As my user, I went to Create=?Background Job=?Print to PDF. I typed in (a redacted last name,) then selected the (a redacted name) finding aid and chose to print to pdf. The "Resource" is unpublished and I did not click on the "include unpublished". It showed an error message in the generic dialog box which looks that it is an unpublished Resource, took its time and then crashed." "It could be that this error is related to the fact the item is "unpublished" and I didn't check on the "print unpublished". If you reset again I can try to see if checking that box still causes a crash" additional tests, all of which result in crashing archivesspace app: Test 1: Resource has no "published" elements and include unpublished was not checked. Error message stated that this is an unpublished resource. Test 2: Resource has no published elements and include unpublished was checked. Error message regarding some of the content and export failed Test 3: Published top-most level of the Resource and checked including unpublished. Received a proxy error stating an invalid response from an upstream server and could not handle the GET request (Error reading from remote server). [3] Runs that output thru the FOP processor to create final PDF. So it would be good to find out in which step it is failing. ( In my experience, the most frequent problem has been the initial step exporting invalid EAD. ) Try checking to see if there is any more specific trace of what is failing in either the application log file ( logs/archivesspace.out ) or in the log files for the batch jobs ( displayed in the batch job console and also in files data/shared/job_files/print_to_pdf_job_*/output.log ). You can also try each of the steps manually: [1] export resource to EAD ? validate EAD against ead schema with xmllint ( or Oxygen XML Editor or whatever else available. ) [2] process EAD against stylesheets/as-ead-pdf.xsl with SAXON [3] process fop xml with fop processor. I have seen invalid EAD sometimes produced if a mix of published and unpublished components can produce EAD with a missing required element. ( I can?t recall the exact combination at the moment ? it was an obvious mistake where a note was supposed to be published. ) I have never tried to export EAD with include unpublished unckecked where the top level resource is unpublished. I don?t know if that is a use case that is tested. ?
