We are in the process of migrating to ArchivesSpace, and I have started to new create records in it. I have a question about the function of an agent record as a subject. I am able to create this, but it does not work as I would have expected. In MARC cataloging of archival collections (my primary work), we will frequently write a 1xx field as well as a 6xx field, indicating that a person or corporate body is both the creator as well as a topic of the collection. This is important so that researchers will retrieve the name in an author search or a subject search. In ArchivesSpace, it does not appear to work this way. That is, a name as subject is not retrieved in a subject search. Has anyone else considered making "agent as subject" retrievable in a subject search, at least in the public interface? Development Thanks to everyone who has tested the release candidate for the 1.5.0 release of ArchivesSpace. We've received testing data from approximately 70 institutions at this point and are pleased that the testing reports we have received have been positive in respect to the processes for upgrading to the 1.5.0 schema and converting to the new container data model. People have been able to convert their container data successfully or, when necessary, to locate and interpret the error reports generated during the conversion to improve the success rate of further attempts. We are still waiting to hear from a few organizations testing the update/conversion before we schedule the release of v1.5.0. Due to this timing, v1.5.0 will also include new enhancements to the location module that have been recently implemented by Hudson Molonglo and were funded by New York University (the original announcement of the project is available at http://lyralists.lyrasis.org/pipermail/archivesspace_users_group/2016-January/003027.html and the final version of the specification is attached to this message). NYU recently completed its acceptance testing and the code is ready to be merged into the core code of ArchivesSpace. This is fortunate as the enhancements to the locations module complement those made already to container management and include a location profile, a calculator for determining empty space in a repository storage area, and holdings reports. Watch for the announcement of a new release candidate, and a follow-up announcement of a webinar introducing the new features, very soon. Finally, enhancements to the public interface have continued during May and into June. The pace of these enhancements will increase shortly, as Harvard and Yale universities will be contributing resources to the Public User Interface Enhancement Project from now until November. Harvard University will be contributing a developer, whereas Yale University will contract with Hudson Molonglo for development work. All enhancements prioritized and contributed to the public interface will be coordinated by members of the Public Interface Enhancement Project. I gave the user that has access to the original AT DB all permissions on the copied DB. I installed the client on my MacBook and entered the copied DB with the username and password for the user. But something has gone wrong because now it lingers on "Accessing Database ... " and the program won't open. I have tried deleting and uninstalling the client but any time I open it now, even after installing it again, it no longer prompts me for credentials. I am not sure how to change the credentials for the client. As I said, I can't get into the client and I have already tried uninstalling and re-installing it. Any advice would be appreciated. These webinars covered many topics from our face-to-face Basics and Digital Objects workshops. The sessions were presented based on ArchivesSpace v1.4.2. I search a text string from that resource and I get a hit (in Google) coming from our ArchivesSpace offering a "printer friendly download" of the full PDF for the Resource. I double checked the Resource, it is definitely "unpublished" at the top level, although it has components which are marked as published (I'm not sure why those are published but it shouldn't matter if the parent is unpublished). For example, my repository takes in new additions regularly from different university offices that already have established collections. Since we create a new accession record for every addition, but the end description will be added onto an existing resource record, we could link all those accessions across other accession records so we know their relationship with a collection. For the record, we don't do this right now. As far as I know, any time you create a new value in a controlled value list, you also have to add an entry for that new value in your enums/en.yml file. This file controls how values stored in the backend will display in the frontend (both staff and public interface). To fix this, you'll need to: --open en.yml at archivesspace/locales/enums/en.yml --find where the event_event_type translations are located (somewhere around line 344). See: https://github.com/archivesspace/archivesspace/blob/master/common/locales/enums/en.yml#L344 --Add two new entries for the new event types you created. You can model them after the ones already in the file. Something like: destruction approval sent: Destruction Approval Sent --Save the file and restart the application. If you start adding lots of new translation values, you'll have to remember to copy this file over to any newer releases of ArchivesSpace after you upgrade. Or, you could just manage your list of local controlled value translations as a plugin. In the meantime, if you have access to the ArchivesSpace application, you just need to modify two lines (376 and 390) in a single file (https://github.com/archivesspace/archivesspace/blob/master/stylesheets/as-ead-pdf.xsl). Here?s what that looks like: https://github.com/archivesspace/archivesspace/pull/475/files The bookmark titles will not retain their formatting with this fix, but the PDF generation process won?t fail anymore! I?m pretty sure I could add formatting to the bookmark titles, as well (the formatting still shows up as expected in the Table of Contents links), but that would require a bit more investigation. In any event, this simple fix will mean that you can create PDF files for any finding aids that have mixed content (i.e. emph, title, persname, and other tags) in their series, subseries, recordgrp, etc., unit titles. At my prior institution we maintained our export EAD -> local XSLT -> HTML workflow (and we were hosted so couldn?t access the application anyway), and, at my current institution, we?ve only been live in ASpace for about a month. That said, as we start kicking the tires here, our team has been generating a running list of PDF issues/concerns in our local JIRA instance. PDF exports are low-ish on my priority list right now, but I?m happy to pass these tickets along in case they?re of use to you. I?m just copying/pasting these out from our JIRA where they?ve been recorded by users other than myself, so I expect you might need to follow up with me for more clarity off list. - (Not a stylesheet issue, just general comment about the process) Exporting to PDF still necessitates a lot of click-through! Can we streamline this? Also, when exporting as PDF, search only works with text title. Can't search as MS.0545 for example. - (You?ve addressed this. Thanks!) PDF export fails entirely when inline coding present in ToC. - When exporting to PDF, public and unpublished notes show up. - (Guessing this stems from the XSL-FO predating the container management plugin/1.5.0) For collection level finding aids (e.g. no dsc exists) instance information is presented in ?Summary Information? in a confusing fashion. Also, I am not sure how it could be fixed, but the PDFs in ASpace take a lot of space. Our legacy finding aids which might take two pages usually print as 5 pages, just because there is so much white space on the page (due to formatting columns, etc). When I do need to print off a finding aid, I end up printing two pages on a side and back to back, because our finding aids easily tend to be quite long (over 50 pages)! I also wish it would be possible to format text within the sections. For example, if we have an Arrangement note with multiple series and subseries, I could intellectually divide things with a semicolon, but otherwise it shows up as one huge text block. It looks like part of this was addressed in a JIRA ticket before (AR-759), where the PUI switched from sorting by resource/finding aid titles to sorting by filing titles. Correct me if this is not what you're after, but I would like to see 1) the finding aid title, not the filing title, displayed on the finding aid page and PDF, and 2) if possible, for resource lists to sort by the filing title but display the finding aid title. In your example, you have "Bank, Harold" listed after "Bank of the State of Alabama, Huntsville Branch." If I'm getting it right this time, you want your resource list to show "Harold Bank Papers" following "Bank of the State of Alabama Huntsville Branch Records" (or whatever your collection titles may be), and for the EAD and PDF finding aids to display "Guide to the Harold Bank Papers." Is that right? If so, then ultimately we want the same thing, and I would also support showing the resource title in search results or browse lists and the finding aid title on finding aids. One problem is that our instance sub-records are either missing or wrong (folders are listed as container 1, leaving out the box entirely.) Locations are also missing. (Not any fault of ASpace, entirely the fault of the data imported.) Additionally, our boxes are not barcoded, but we'd like to do so in the future. We're trying to figure out the most efficient way to deal with these issues. My question is what should we take care of now and what would be easier to fix after eventually upgrading to 1.5? I'm thinking the container 1 issue is something we'll just have to go through and correct in every record...is that right or is there a better/easier way? But that the other stuff (adding locations & barcodes) could wait until 1.5 when we could do it in batches? (I am aware of the issue around not having barcodes when updating.) Hope that made sense - we're very new to this! Just trying to avoid updating thousands of records individually, if possible... Thanks in advance for any help or advice! Could you try something out: If you have access, navigate to the stylesheets folder in your archivesspace directory. Then open the as-ead-pdf.xsl file. Ctrl-F for "titleproper". replace any thing that says the "ead:titleproper[@type='filing']" with "ead:titleproper[2]". I believe this should be enough to choose the finding aid title instead of the finding aid filing title. If you're interested in making more changes to the pdf / ead Here is a plugin that I created for UNLV thatt makes changes to the ead: https://github.com/l3mus/ArchivesSpace-authority-project/tree/master/unlv_ead_exporter Our stylesheets that we modified from The Getty are in this folder (just for storing not their actually location). To do this navigate to the stylesheets folder under your archivesspace main directory. Open up the ead-to-pdf.xsl. You should be able to edit that file to make changes to your pdf. Changes such as font and spaces in the PDF are at the very top in lines like 16pt you should be able to change that to a 12pt or whatever you need to fit your needs. Removing and adding components of the PDF is also possible. For larger changes such as notes not publishing or changing a title you need to make changes to the ead serializer. This way the changes are applied directly to the ead and converted into the PDF Here is an example that I created for the University of Nevada Las Vegas with some changes to the stylesheets made by The Getty: https://github.com/l3mus/ArchivesSpace-authority-project/tree/master/unlv_ead_exporter Let me know if you have any questions. I was just scrolling through the listserve to see if I missed any topics related to us and I found your Batch Export of MarcXML question. I saw that some one answered your question and I was curious about getting that functionality to work. Then I found under the scripts directory there is a script called ead_export. You should be able to run this using "scripts/ead_exports.sh(bat if on mac) username password repo_id" in the command line from the main directory of your ArchivesSpace. It will export all the resources into a zip under the data directory of ArchivesSpace. This will probably take a very long time if you have a lot of records, but since you brought this to my attention I thought you'd be interested to know. On a side thought, knowing this is possible it may also be possible to create a functionality to select multiple records and batch export them. It would be an interesting tool to have. Going forward, the Chair of the ArchivesSpace Governance Board will update the membership on Board topics and decisions after each quarterly Board meeting. The most important outcome of the 4th Quarter meeting was the Board?s unanimous approval of the ArchivesSpace FY2016/17 budget. This budget is in healthy shape and will allow the ArchivesSpace program to continue its many activities including building and engaging the ArchivesSpace community and supporting the use of the ArchivesSpace application by providing user documentation, coordinating workshops around the country, and responding to user questions. I expect that the item of greatest interest to all of you is that the approved budget allocates the funding necessary to continue and increase ArchivesSpace software development and support. We know that your highest priority is the functionality of the software, and the Board?s objective is to ensure that membership dues are invested in the most effective way to meet that priority. We will be recruiting to replace the on-staff developer, and we are adding a half-time technical support position to assist ArchivesSpace members with installing the software, troubleshooting, and migrating data. In addition, we will be contracting for additional development support, both to accomplish desired work while the developer position is open and to address additional high priority development needs. The ArchivesSpace program team has already started the process of recruiting an on-staff developer and is negotiating a contracted plan of work with the development firm Hudson Molonglo (HM). As many of you know, HM built version 1.0 of ArchivesSpace and has been responsible for significant code contributions since, including the new container management functionality and location enhancements present in the upcoming release of version 1.5.0. We are very pleased that Harvard University is contributing a full-time developer for the next five months to work on enhancement of the ArchivesSpace public interface, and Yale University has contracted HM to develop additional enhancements to the public interface within the same time frame. Yale is also providing a project manager to coordinate these efforts. The Board is very grateful for these contributions to the community effort. Other business transacted during the 4th Quarter meeting included the following: ? Setting a pattern of quarterly Board meetings for FY2016/17, including two face-to-face meetings and two by teleconference. ? Endorsing Gregor Trinkhaus-Randall as the new liaison to the ArchivesSpace Board from the LYRASIS Board. Gregor Trinkhaus-Randall is currently the Vice Chair of the LYRASIS board and a former SAA President. He succeeds Jay Schafer as the LYRASIS Board Liaison. ? Endorsing the report of the Nominating Committee, and thanking the committee for its excellent work. ? Reviewing operational reports from the Program Manager and the chairs of the Technical and User Advisory Councils. We note that the range and impact of the activities of the councils and their respective sub-teams is impressive, and extend our appreciation to UAC chair Gordon Daines, TAC chair Sally Vermaaten, and all of the members of both groups for their tireless and terrific work. ? Determining Board member contributions at the ArchivesSpace Members Forum scheduled for August 2 during SAA week. Christian Dupont and Lynda Kachurek will attend the forum and present a Board update; they are looking forward to hearing from ArchivesSpace members.
