Try exporting the Resource as an EAD and then opening that file in Oxygen (or even a browser like Firefox) to see if there are any unclosed or overlapping tags. However, I'm having an issue with the resources I've hand-entered into AS since then; the component trees appear fine in the internal side, but in the public view, there is just a three-bar churning icon there. Does anyone have any advice on what needs to happen so that all of our resources' components appear in the public view? [Screenshots comparing the two (public-side view) attached.] There is nothing else missing from the internal side to the public side for the newly hand-entered records, and I have tried clicking "Publish All" to no avail. Related: Keyword searching in the internal side works perfectly for discovery of these hand-entered records. When I go to the public view, though, I will get the same search results, but when I click on any of those file records, I get the error message "We're sorry, but something went wrong." Does this mean something isn't linking correctly? I'd appreciate any advice that I can pass along to our Director of IT to fix the problem. I fixed it by renaming the check_permissions function in my controller, apparently it was overriding that of the preference controller and therefore it was trying to find the marc_export_user_id in it's own schema. Does anyone have any advice on what needs to happen so that all of our resources' components appear in the public view? [Screenshots comparing the two (public-side view) attached.] There is nothing else missing from the internal side to the public side for the newly hand-entered records, and I have tried clicking "Publish All" to no avail. Related: Keyword searching in the internal side works perfectly for discovery of these hand-entered records. When I go to the public view, though, I will get the same search results, but when I click on any of those file records, I get the error message "We're sorry, but something went wrong." Some issues remain though and I want to ask about classifications, specifically about what collections/resources should or are intended to appear. Class_001 shows our manuscripts classification in Archon with sub-classifications, and notice collections MSS 025 and 131 at the bottom. These two appear here because they are linked to the manuscripts classification but are not sub-classified. Class_002 shows the ASpace admin view of the manuscript classification w/ MSS 025 and 131 listed, and a third unpublished record. Class_004 shows the Archon equivalent of Class_002 and here you do not see any collections listed in the Classification Manager, just the classification tree itself. So are these three collections that appear in ASpace (Class_002) supposed to be listed on this screen, or like Archon are we only supposed to see the classification structure? This brings me to my next question. In the Class_002 view, ASpace admin shows the three resources/collections when looking at the parent manuscript classification. But when you look at any of the sub-classifications you do not see any resources/collections listed. Class_005 shows no collections listed for "Twentieth Century American and British Literature" in the admin view, but there are correctly 81 collections that appear in this sub-classification's public view (Class_006). Archon never shows linked collections to classifications when looking at the Classification Manager. So should we or should we not see a list of resources/collections linked to the classifications in the ArchivesSpace admin view? Related to MSS 025 and 131, notice in Class_003 how the ASpace public view does not list these collections when clicking on the Manuscripts classification as Archon does in Class_001. Is ASpace supposed to? Both 025 and 131 are published and come up in ASpace searches. Lastly, is there any advice on how to make the sub-classifications appear in numerical order? We are actually looking to unlink, or more appropriately said, remove, all locations from our database since they were not done consistently. I apologize for the confusion and for not including screenshots to better explain. I'll try again. Here's a screenshot of the Instance and Location in ArchivesSpace 1.1.2. Notice the red circle indicating where you can remove a location from the record. [image: Inline image 1] However, in 1.4.2 (below), the X button is gone so there's no way to remove the location element from the Instance. [image: Inline image 2] As Miloche pointed out, I can click on the small x button on the location itself, which unlinks that specific location, but I actually want to remove the entire location element. Since I cannot remove it, and it's a required field, I still have to have something in it in order to save the full resource. If I could remove the location field, I could then save the record without entering a new location. I've checked the table referenced in the migration file on line 12 (the job table) and the structure seems to be ok - at least there's a column labeled repo_id in there, though I have no data in that table. I used the refactored migration tool to migrate to ASpace 1.3.0 and then upgrade to 1.4.2 after that. It is a work around. I used the refactored migration tool to migrate to ASpace 1.3.0 and then upgrade to 1.4.2 after that. It is a work around. I was running a migration from AT & Archon to ASpace 1.3 using the new migration tool. I would check to make sure your config.rb file in the 1.4* version is pointing at the right db. I would check your /lib directory to make sure it has the mysql connector. Also, I would stop archivessapce, backup/delete/rename your solr index, and then restart/reattempt. I can also do a clean test migration into 1.3 without any plugin migrations and check that against the v1.4 migrations to see if its a plugin interaction. As I understand it, ArchivesSpace only exports top-level resources as MARCXML (i.e. Collection, in this case). Child resource components are available by exporting EAD container objects. This is not ideal for our use case, as any post-processing and reformatting of EAD for consumption by OPACs is impractical. For example, EAD "flattens" subjects/agents (does not preserve datafield/subfields expected by consuming OPACs). Additionally, EAD output is monolithic; parsing several thousand container tags is onerous at best. Can someone confirm whether this sort of task suitable for plugin development? I'm new to plugin architecture and could use some guidance before I do the deep dive and/or promote this idea to the ArchivesSpace developers. Moreover, is this a feature other institutions could benefit from? Last week I could not get the screen to stay active enough to capture BUT I did capture some screens today. The first capture below (first attachment) is the home screen I get ... all seems to be as normal here. Sometimes when I click to login in I get the run time error screen below. Sometimes if it does let me login, then as soon as I click on anything in AS, I get the run time error below (second screen shot attached). Cannot seem to get by this error .. we really need your help, it is the start of the academic year and we need the AS access. Thanks again for your help. What does the importer check to see whether it is creating a new ArchivesSPace record or modifying one that it has found? What we've accomplished works great for new records, but it seems that, for example, if there is a record with an empty AuthorityId and I want to modify that record to have an AuthorityId by importing it's authority file the AuthorityId is not updated in the ArchivesSpace record. My guess, from running several tests, is that the authority id is not updated because even though the record we have imported has the AuthorityId and even the same primaryname and source as the record in ArchivesSpace; because, the ArchviesSpace record does not have the authorityId it does not think it is modifying the file. I'm still unsure of the root cause, but what I eventually wound up doing was recreating the migration steps manually. I added the constraints, etc by hand and then ran the migration - which theoretically shouldn't have needed to do anything at that point. I had to manually enter the constraints for all of the tables mentioned in the 059 migration file: job, job_input_file, job_created_record, job_modified_file, preference, group, group_permission, & group_user. I was running a migration from AT & Archon to ASpace 1.3 using the new migration tool. I would check to make sure your config.rb file in the 1.4* version is pointing at the right db. I would check your /lib directory to make sure it has the mysql connector. Also, I would stop archivessapce, backup/delete/rename your solr index, and then restart/reattempt. In general our accessioning workflow is for my accessioning assistant to create accession records, then I review them. Almost invariably when I edit the record I get the following message: "This record is currently being edited by another user. Please contact the following users to ensure no conflicts occur: tevans." However I know that Tina is not currently editing any of these records. In most cases it's been days if not weeks since she has made edits. My staff have seen similar behavior for resoruces. It's a small nuisance, but it happens so often I'm curious, and I worry that if I begin to ignore the warning altogether I will eventually overwrite someone's work. Its down to pilot error. I've been using phpmyadmin to manage my db stuff and I had been copying from a known good db into new versions for testing. I'm still unsure of the root cause, but what I eventually wound up doing was recreating the migration steps manually. I added the constraints, etc by hand and then ran the migration - which theoretically shouldn't have needed to do anything at that point. I had to manually enter the constraints for all of the tables mentioned in the 059 migration file: job, job_input_file, job_created_record, job_modified_file, preference, group, group_permission, & group_user. I am working on migrating Archivists' Toolkit to a clean install of AS v1.4.2. 1) I'm getting a number of 'Repository Mismatch Between Resource -- Accession' error messages. I understand that this is a result of potential mismatch between the accession's repositoryId and the resource's repositoryId (or, at least I think I understand that); in all the cases that I've checked (both in AT and in the database) the repositoryIds are the same. I'm checking ATdb/Accessions and ATdb/Resources -- is there somewhere else these values may need to be modified? 2) 'Linked Accession Not Found' also seems to be problematic - the accessions/resources I've checked are linked in the AT GUI and in the ATdb/AccessionsResources table. Similar question to 1 - is there somewhere else I need to be looking? 3) On a strange(r) note, after running the latest version of the migration utility, it reports something along the lines of: TOTAL COPY TIME: 27 min 27.10 sec NUMBER OF RECORDS COPIED: Lookup List : 34 / 34 (100.00%) Repositories : 3 / 3 (100.00%) Locations : 129 / 152 (84.87%) Users : 28 / 30 (93.33%) Subjects : 2403 / 2936 (81.85%) Names : 4241 / 4243 (99.95%) Accessions : 1776 / 2112 (84.09%) Digital Objects : 10 / 10 (100.00%) Resource Records : 3768 / 4258 (88.49%) But the records are nowhere to be found in AS.
