Looking at the https://www.pivotaltracker.com/s/projects/386247/stories/47583211 ticket, this was for "Accessions, Resources, and Digital Objects on their browse pages", so these configurations are for the searches done on those records types browse screens. Mark Cooper submitted a feature request for doing sometime similar for the "Search All" feature. It's still in the backlog for an upcoming release, but it shouldn't be too difficult to implement. In the meantime, you can add this as a plugin..check out this gist : https://gist.github.com/cfitz/74fe98d13d164026d35b Put this _results.html.erb file in your plugins/local/frontend/views/search directory. This will add your configurations to the Search All pages. But, it is a little clunky, becuase it's going with multiple record types. If, for example, you have "Identifier" for both Accessions and Resources, you're Search All results will have two identifier columns ( one for each model). We can refine this, but I think this might help you out right now? Let me know what you think.. b,chris. Hope this helps, -Kate Kate Tasker Digital Collections Archivist The Bancroft Library University of California Berkeley, CA 94720-6000 Hi All, I'm looking for some guidance on the use of the "Temporary" field in a Location record. It is a non-required field and has four optional values in the drop-down menu (Conservation, Exhibit, Loan, Reading Room). Interestingly, it seems to become a required field when adding a Location to an Instance and setting the Location status to "Previous". We would like to record historic ("Previous") locations for some Instances, but receive this error message if the linked Location does not have data in the "Temporary" field: *"Status - cannot be previous if Location is not temporary"* The four values in the location_temporary controlled value list are fixed and cannot be modified, and we have locations that don't really fit under any of those four types. Is anyone else experiencing a similar situation? Would it be possible to make the location_temporary list editable, or to allow a "Previous" status without a "Temporary" value? The bug is that it looks like the translation for this error is not set right, which is why you're seeing: en.validation_errors.cannot_be_previous_if_location_is_not_temporary instead of the: "Status - cannot be previous if Location is not temporary" message. Ticket for this here : https://www.pivotaltracker.com/story/show/82000286 The way this functions is that you have "resources", "locations", and the "housed_at", which is the relationship that joins these. You're actually setting the "housed_at" status to be "current " or "previous". The issue is that the "Location" has to have a temporary value set to allow you to set a "housed_at" to "previous". This is not a bug, as there is a very specific validation written on this relationship being this way ( https://github.com/archivesspace/archivesspace/blob/master/backend/app/model/container.rb#L32-L35 ). I'm not exactly sure the reasons for this or what changing this would do. We can ask? best, chris. I am giving a presentation on the system to the archivists at the University of Auckland Libraries and Learning Services, where we are currently using the Archivists? Toolkit. We have an AS sandbox instance of the public interface but it would be great to see a customised example to give a better sense of the institutional setting and options for implementation. The plugin will include a subset of the commits to master. We're going to cherrypick commits that can fix smaller (especially EAD import/export) or critical issues. Major fixes and feature requests will be saved for formal releases. It's a bit of a departure from the formal release cycle, but we had feedback from a lot of members who didn't like having frequent updates. We ran into a counter problem of having longer time between updates equated into longer wait times for fixes. I'm hoping this will work as a easier way to apply needed patches. If this works, I think future releases could have the maintenance plugin checked out and loaded by default, so pulling patches will be even easier... Let me know what you all think... best, chris. IMPORT ERROR !!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!! The following errors were found: source : Property is required but was missing For JSONModel(:subject): #"subject", "external_ids"=>[], "publish"=>true, "terms"=>[{"term_type"=>"geographic", "term"=>"Scotland", "vocabulary"=>"/vocabularies/1"}, {"term_type"=>"topical", "term"=>"History", "vocabulary"=>"/vocabularies/1"}, {"term_type"=>"temporal", "term"=>"James V, 1513-1542", "vocabulary"=>"/vocabularies/1"}], "external_documents"=>[], "uri"=>"/subjects/import_dbea0ae0-f9bc-45f0-a49a-c67ba48bd5cb", "vocabulary"=>"/vocabularies/1"}> !!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!! And if i snag the json output from the parser and stick insert a ?source? : ?anything?, posting to /repositories/$REPO/batch_imports does successfully create a subject record. Should ?source? be optional or have a default value ? BTW: Had anyone tried or contemplated batch import of a large set, like the entire LCNAF ? Are there performance reasons that might make this a bad idea ? Also ? same issue as with EAD import: Since the import error messages refer to the intermediate JSON model (which we don?t get to see) rather than the imported XML file, it?s sometimes difficult to figure out exactly what the import problems are without seeing that intermediate code and comparing it to the schemas or json output from the backend API. I?ve been resorting to commenting out the validation and running from the jirb console to produce a JSON file to insspect, and perhaps edit and submit to batch_import. It would be nice to have a better way to do this. ? Steve Majewski -------------- next part -------------- An HTML attachment was scrubbed... Greatly appreciated. The description on the pivotaltracker only deals with temporary locations. We would like to be able to mark, main locations (instances) as "Previous". We have occasions when a collection is stored at one location and then a period later (months or years) will be moved to a new locations. We'd like to be able to record the 'previous' location. Temporary locations would only be used for items within a collection/fonds that has temporarily been moved to another location such as Exhibition, Preservation etc. Having said that, we would also like to be able to add new types of "temporary' locations. Perhaps the AS team could advise whether this is something that could be fixed? There is an open ticket on Pivotal Tracker here: https://www.pivotaltracker.com/s/projects/386247/stories/74828824 We haven't moved to v1.1.0 yet, so I'm not sure if anything has changed in the new version. I didn't see it on the features/bug list for the latest release, though... We would like to record historic ("Previous") locations for some Instances, but receive this error message if the linked Location does not have data in the "Temporary" field: "Status - cannot be previous if Location is not temporary" The four values in the location_temporary controlled value list are fixed and cannot be modified, and we have locations that don't really fit under any of those four types. Is anyone else experiencing a similar situation? Would it be possible to make the location_temporary list editable, or to allow a "Previous" status without a "Temporary" value? Let me know what you think.. b,chris. Migrate data from Collections Collaborative (including Divinity, Music, and Medical), Beinecke Rare Book and Manuscript Library (BRBL), and Manuscripts and Archives (MSSA) Archivists' Toolkit instances to single AS instance. (March-June 2015) 7. Serve as consultants to Yale repositories who wish to migrate non-AT data as necessary. (October 2014 to December 2015) 8. Contribute to the ArchivesSpace community by providing feedback, reporting bugs, contributing to AS core code or plug-ins, and sharing documentation and experiences. (ongoing) 9. Plan, schedule, and implement training for staff. (March 2015) 10. Yale implementation of AS across units (staggered). (April-July 2015) 11. Hand off enterprise-level application support to YUL-IT. We have contracted with Hudson Molonglo to enhance AS accessions, search, and container management functions-information about our development plans can be found on our Web site. You and the other members of the ArchivesSpace team have been incredibly helpful and encouraging, but we realize that we would benefit from broadening the communication. As we move forward with our plans and think about additional development areas, it would be incredibly helpful to get some additional guidance and support from AS and are requesting the following: A development hub maintained by AS that includes: * AS development plans (clearly stated and with target timelines)--this will ensure that users do not embark on development that is already planned (it is difficult to get a clear picture from Pivotal Tracker); * a more formal process for submission of development requests, including a promise that submissions will be addressed with follow-up; * centralized place where community member development plans can be vetted and shared--the AS listserve and GoogleGroup and great for communication but not tracking development. AS guidelines regarding core code and plug-in development, including * process by which AS reviews core and plug-in development requests; * development of best practices (are there things folks can do to increase the likelihood that the enhancement can be integrated to the core code if deemed valuable to the community?); and * recommendations for vendors. Standing up a development hub is a very good idea, and Chris and I will be willing to explore that and report back options. At the moment, due to increasing staff and the recent release of v1.1.0, we are composing a 12-month development plan which we will be vetting soon, initially with the Advisory Councils and then with the general membership. The development plan will consolidate and prioritize feature requests, bug reports, and chores currently logged into the ArchivesSpace Pivotal Tracker (at https://www.pivotaltracker.com/n/projects/386247), as well as those culled from reports recently received from Harvard and UIUC and at various workshops over the past several months. We expect the review process to take several weeks to complete. All best, Brad W. Bradley D. We believe guidelines and a development hub will facilitate community development and engagement and will maximize the benefit of individual development goals for all members and users. I am very pleased to announce that Christine Di Bella has accepted the position and has already started as the ArchivesSpace Program Assistant (.5 FTE). Christine has worked in archives for nearly 15 years, in a variety of academic and non-profit settings. Recently relocated to the greater Boston area, she is currently also the Temporary Archivist for the Cambridge Public Library. Most recently she was the archivist for the Institute for Advanced Study in Princeton, New Jersey, a charter member of ArchivesSpace. Prior to that she was the archivist and project director for the Philadelphia Area Consortium of Special Collections Libraries (PACSCL) Consortial Survey Initiative, a project to assess un- and under-processed archival collections at 22 Philadelphia area institutions. She has also held positions at the 92nd Street Y, the Bentley Historical Library at the University of Michigan, and Harvard Business School. She received an MSI from the University of Michigan's School of Information and a bachelor's degree in English from Wesleyan University. She is a past chair of the Delaware Valley Archivists Group, an active member of the Society of American Archivists, and a new member of New England Archivists. Initially, Christine will focus on supporting member services such as enrollment and account updating. Eventually, Christine will become involved with responding to / triaging user questions, will participate in the process of updating the application's user documentation, and will assist with developing the ArchivesSpace training program. The Migrator Tool was updated to pre-process the excel file to merge the rows, and I also had to make a minor modification to the excel file (see attached) to allow scripts to work. The format of column A need to be change to Text. Take a look at the sample mapper script and if there is further interest to work with the Migrator Tool we can setup a quick Skype to quickly run through the technical details. Ideally, if one of the team member is familiar with Java/Javascript, it shouldn't be too hard to review the program code and script to see how to modify it to import the entire accession records. I am also attaching an ASpace v1.1.0 database dump for you to take a quick look at the migrated sample records. In any case, based on your overall migration requirements it might be worth while to invest the time in learning to employ the Data Migration tool. However, If it's just Accession records being considered for import, then you probable better of continuing on the current path. I left out a number of fields that will not be relevant (internal FM references, patron use info, etc.), but this should cover what we expect to get into the Accession.CSV, and it may need to be pared down a bit more after a final review of the mapping spreadsheet. To create the Accession Number and get a reasonably reliable accession date I have been working with the following process in Excel: Insert three columns labeled: accession_number_1 accession_number_2 accession_accession_date To get the accession_accession_date I run a pair of =IF(ISBLANK formulas. The first is to get either the Acquisitions by Item ID:Date if there is one, otherwise drop in the Date Record Created value, and the second one (run in the accession_accession_date column) will pick up either the better of those date, or if they are both lacking, we roll back to the Date Record Modified. This should result in a date for every record, with preference given to the most accurate date available. The results are formatted to display in the YYYY-MM-DD format. accession_number_1 is generated from a formula to pull the year from the accession date. accession_number_2 uses a COUNTIF formula on accession_number_1, giving us a running count for each year, and formatted to display as 5 digits ex: 1987.00021 For previous tests I then copied these columns and pasted the values over them (so I could trim out the other columns without losing any info), and consulted the mapping file to rename the remaining columns to be used. I have mostly been doing limited tests with specific fields, not using all possible columns at once. Please let me know if there is anything else I can pass along, and thanks for looking into this! -Ian Ian Roberts Caltech Library 626-395-6429 ian at library.caltech.edu -- Nathan Stevens Programmer/Analyst Digital Library Technology Services New York University 1212-998-2653 ns96 at nyu.edu -- Nathan Stevens Programmer/Analyst Digital Library Technology Services New York University 1212-998-2653 ns96 at nyu.edu -------------- next part -------------- An HTML attachment was scrubbed... It should appear following the titleproper and before the author element * On import, paragraph tags are being retained and are visible in the staff note view. This does not seem to be a problem with export, but it does clutter the interface to include tagging that is typically added on export normally. Could these tags be stripped and replaced with line breaks? Also, when testing the application in Internet Explorer 11.0.9600.17420 on Windows 7 we found that the banner stating "ArchivesSpace does not fully support this browser" was still appearing, though according to the release notes (FEATURE #72715824) this had been resolved. A few points: 1) Just to clarify, this isn't a 1.1.0 bug. It's actually affects all versions of AS. 2) Payton from Hudson Molongo's patch is included into github now, but I still need to write tests for it. If you want the fix now, you can do a fresh build on the current version in github. and let us know if it works for you 3) In regards to process, I think the problem was that this was reported along with another similar issue involving instances re-ordering. Also, in trying to replicate this issue, I mistakenly assumed that it was strictly a "drag-and-drop" issue and was missing the key edit part of the problem, so I wasn't able to see the problem immediately. But, regardless, we all need to make sure that PT tickets get made for any bug or feature request. If its not in PT, it's probably not going to be addressed. I know not everyone has "create" access in Pivotal Tracker ( there's a license/cost issue there ), but there are quite a few colleagues who can submit tickets. I'm also trying to think of ways we can ensure discussions generated here get captured into tickets, with good suggestions. Anyone have some suggestions on things that work or that they think might work? A case in point: I've been going through and adding access restriction notes to various components within existing administrative collections. Last week I clicked on several existing components in a resource record, added conditions governing access notes to those components, saved the changes, and went about the rest of my day. The following day I pulled up the resource to answer a reference question and, lo and behold, it appeared as if someone had dipped a giant wooden spoon into the cauldron that was the collection and stirred all the components about in an infuriatingly nonsensical way to make component soup of our previously well-ordered resource record. Payten - Thanks for sharing this code, but just to confirm, have you tested this fix against the scenario I describe (editing but not moving a component)? I just want clarification since the description for your patch ("Patch for drag and drop causing record to lose position/parent") does not align with the primary problem we are encountering. Again, thanks for your hard work. Chris - Do we have a timeline for this release? We are seeing many benefits to our transition to ArchivesSpace, but this problem has been a constant thorn in our sides since we first reported it in June. We had hoped that 1.1.0 would resolve this issue (as we'd been told it would), but we remain anxious for the day when we can rest assured that ArchivesSpace gnomes won't enter our resources at night and scramble them all about. We have found the following issues: - Some characters within the EAD are causing errors, which stop the browse by resources, subjects and agents pages from loading on the front-end. We are getting lots of the following errors in the logs. (file attached) - Line-wraps in not recognised and only content up to the line wrap is imported - Import messages are not always clear, it would be really useful to see the line number from the EAD file - After cancelling an import job the queue did not clear and we had to restart the Tomcat web server to resume importing - Can the Digital Object links open in a new browser window? You mention in your post that ?if you are using the refid plug-in, then use this option?. My question is, if we are not using the refid plug-in can we use this option? Hi, You can download the latest release of the AT migration plugin from the Github site. (https://github.com/archivesspace/at-migration/releases/tag/v1.1.0) This release is: 1. Designed to work with both v1.0.9 and v1.1.0 of ASpace 2. Fixes bug in which Windows file URIs in External Documents were not being migrated properly. 3. Supports options for specifying how Resource Components refids are transferred. valid options are: -refid_original -- Copy the original refid from the AT. -refid_unique -- Copy the the original refid and adds a String to make them unique (refid_abc). This is the default option since a few Resource records may have duplicate refids for resource components and will fail to copy. -refid_none -- Do not copy any refid, instead allow ArchivesSpace to assign one. If you are using the refid plug-in, then use this option. You provide your URI, user, password, repository, and the type of record you're wanting to change. This will go through, get the record's json, merge in the json from your template.json, and update the record. Let me know if you have any questions...and fyi global replace features are expected to be done during a sprint in early 2015. best, chris. You provide your URI, user, password, repository, and the type of record you're wanting to change. This will go through, get the record's json, merge in the json from your template.json, and update the record. Let me know if you have any questions...and fyi global replace features are expected to be done during a sprint in early 2015. best, chris. After saving the record, I find (in Edit mode) that I can only access the first three instances entered-there does not seem to be a way to list, access, or edit any of the others. [In View mode, I can see all of my instances.] So, in Edit mode, how do I access instances 4 and beyond? (Also, in View mode, are there any development plans to include the container 1 indicator (at minimum) alongside the container 1 type? A list of 40 lines that just say 'Box' is not ideal.) We are using both the migration plugin and the refid plugin, and have encountered validation errors that prevent most of our resource records from migrating. As per advice from Nathan Steven, we are using the refid plugin with the option of "refid_none" to ensure that no refids are copied and that ArchivesSpace assigns new ones instead. The following config changes were made in the ArchivesSpace v1.1.0 config file for loading the "refid_rules" plugin: AppConfig[:refid_rule] = "<%= repository['repo_code'] %>_<%= resource['formatted_id'] %>_<%= SecureRandom.hex %>" ## Plug-ins to load. They will load in the order specified AppConfig[:plugins] = ['refid_rules'] Post-migration we found that most of our resource records had not migrated. The migration error log is attached; the errors appear to be primarily validation errors relating to "refids", i.e.: {"errors": ["Server error: #<:ValidationException: :errors=>{\"ref_id\"=>[\"Did not match regular expression: \\\\A[a-zA-Z0-9\\\\-_:\\\\.]*\\\\z\"]}}>"],"saved": []} We were previously able to migrate all of our resources in an earlier trial migration to ArchivesSpace version 1.0.7.1 using the default migration settings on the migration plugin (without the refid plugin). Any ideas/advice on where we went wrong would be greatly appreciated!
