Now that I have more data in my test ArchivesSpace instance, I'm noticing things that I'm sure have been there all along and I just didn't realize it. Is the search engine on ArchivesSpace set up as an "OR" rather than an "AND"? Any multi-word search I do pulls up way more results than I would have expected, i.e. any record of any type that has any of the words included. (Perhaps this may also be part of the reason that provided LCNAF plugin seems to be virtually unusable?) Since Google and its ilk have spoiled many of us, I'm sure I'm not alone in saying an "AND" search would be more useful. I do see that I can use quotation marks or "and" between search terms to further focus searches for my own records (though doing so seems to have no effect on the LCNAF plugin). Nevertheless, we have started to implement and test a development workflow, the key steps of which are: 1) A development cycle will be a month long instead of the two week long cycle used with the contractor. 2) At the beginning of each month, the features prioritization subgroup of UAC will a. Test and accept user stories done during the previous cycle b. Prioritize work to be done during the current cycle by the ArchivesSpace Developer and others. 3) The ArchivesSpace developer Chris Fitzpatrick and others will address the prioritized work, notifying the features prioritization near the end of the cycle when work is ready for testing 4) The features prioritization subgroup will then test work, either accepting it for release or sending it back for additional work. 5) Releases will be made periodically, but we are not sure yet if that means every month, every quarter, or some other interval. Because development resources are very limited right now, one developer who also has a certain amount of management responsibilities, the features prioritization subgroup is focusing on "families" of user stories for the short-term, that is, user stories clustered around a certain functional area such as agents/names, which, in fact, is the focus of this "first" cycle of development. We agreed, in discussion with Chris F. that this approach would more likely expedite development at this point in time than would prioritizing un-related stories. Beginning with the simplest possible use-case: 1. I have 2 MARCXML records that describe 2 separate archival resources. Both record 1 and record 2 contain markup referring to the creator and former owner of their respective archival resources. Smith, John creator Doe, Jane former owner Following import, my agent list contains two (2) instances each of John Smith and Jane Doe. What's happening there? Successive imports containing either John Smith or Jane Doe add additional ids and rows to the name_person mysql table. In other words, it appears that during the import process there's no validation routine against human-readable values. Is there an additional marker or indicator I can enrich the metadata with to indicate that it is a controlled value in the agent list? 2. Each record has a unique identifier that's relevant to the organization's administrative cataloging system, that is, a series of locally developed pseudo-call numbers. Here's an example: Repository: name name of collection NVB.0028.H-30.M.XLV.12A-13A Following import, the value contained by the 852$c tag is replaced with a hash: imported-43bf7690-4aa6-471d-a3a1-21e18f9002c7 Is this desired behavior? This will all be included in the next release (v1.0.9) that should be out shortly. In regards to the identifier issue, looking at the MARCXML importer ( https://github.com/archivesspace/archivesspace/blob/master/backend/app/converters/lib/marcxml_base_map.rb#L530-L542 ) The identifier is being built by the first concating the 856$k, 856$h, 856$i , and 856$m. If there are no values there, it uses values from the 090 field. If there are not any values in that field, it generates a random string, which is what you are seeing you your records. If you want to customize the id that is being generated by the MARCXML importer, you can modify the marcxml_base_map.rb file in a plugin. Both record 1 and record 2 contain markup referring to the creator and former owner of their respective archival resources. Smith, John creator Doe, Jane former owner Following import, my agent list contains two (2) instances each of John Smith and Jane Doe. What's happening there? Successive imports containing either John Smith or Jane Doe add additional ids and rows to the name_person mysql table. In other words, it appears that during the import process there's no validation routine against human-readable values. Is there an additional marker or indicator I can enrich the metadata with to indicate that it is a controlled value in the agent list? 2. Each record has a unique identifier that's relevant to the organization's administrative cataloging system, that is, a series of locally developed pseudo-call numbers. From what I can tell, the only events that are available to associate with accessions are those listed in https://www.pivotaltracker.com/s/projects/386247/stories/35064329 and https://www.pivotaltracker.com/s/projects/386247/stories/46849311. This is problematic for two reasons: 1) It excludes other relevant events already present in the controlled value list for event_event_type. The most glaring example is agreement_received. (Perhaps this is a vestigial event and meant to be replaced by agreement_signed). But appraisal and assessment might also be useful in an accessioning context. Who knows what might be useful? 2) Despite my best efforts, I see no way from within the user interface to create new event types for use with accessions. Here at Yale we have defined 11 additional event types that we need to be able to associate with accession records. I've created new event_event_type values via the controlled value list interface under system preferences. I am able to associate those with resources and digital objects, but not with accessions. It is critical for us to be able to extend the events associated with accessions. The simplest solution would be to make all of the event types available to all of the record types. The most granular solution would be to allow users to choose whether or not to associate any given event type with any given record type. The former would be an acceptable short term solution but I think the latter would be a preferable long term goal. I've noticed two other related oddities that I think relate to https://www.pivotaltracker.com/story/show/61207810: 3) In the "Create Value" popup within Controlled Value List interface it gives an option to define a new Value, but not a Translation. For example, I created an event value of "authorization_received". Once I replaced "1959-11-31" with "1959-11-30", the file imported into ArchivesSpace without any issues. I've yet to really work on importing EAD into ArchivesSpace, but once I do, I hope that there will be a schematron file (or something similar) that will highlight exactly where these errors occur so that they can be fixed a bit more easily. Has anyone else already created something like that, in order to check the validity of the normalized dates? I'm pretty sure that the TEI schema does this. I finally figured out that it is when I deselect some of the boxes and use only some of the box choices, reorder them to match our data, and then add a line using the green add a line selection at the end of the line. Yes, I had come to the same conclusion, and in fact I just un-did the column re-ordering and that seems to be a workaround. The problem is, we should be able to exploit all functionality of the RDE. I wanted to fill out all of the sticky fields, move the repeatable columns to the end, add a batch of rows, and then only have to fill out the variable data (in our case: title, date, and folder number). This bug basically invalidates the column reorder and hide column options. I finally figured out that it is when I deselect some of the boxes and use only some of the box choices, reorder them to match our data, and then add a line using the green add a line selection at the end of the line. I switched to adding bulk lines via the add line option at the bottom of rapid data entry section. That seemed to prevent the columns from transposing our arrangement. Hope that helps! For example, under "Container 1 indicator," instead of a free text field, I'll get a drop down menu for instance type. (See image below.) Sometimes if I clear my browser cache, that will fix the problem, but today I've cleared it multiple times, logged out and in, etc., and it still does this. I'm using Version v1.0.7.1. Date: Wed, 30 Apr 2014 16:01:56 +0000 Subject: [Archivesspace_Users_Group] New to the list -- couple quick questions Message-ID: Hi folks, Ohio State University has recently joined the ArchivesSpace community and will be working this summer to start a process of migrating content from our current system (PastPerfect) into ArchivesSpace. As we start thinking about this process, a couple of questions come up: 1) As we look at this migration, one of the things I'm interested in is the community around it, specifically the plugin development. Is there a place where members can see (or here about) what types of work is being done to extend the software. 2) A number of members of this community also utilize other repository services (@ DLF, the Hydra folks and ArchivesSpace folks were chatting) - I'm interested in learning more about this work as well. I'm aware of the work being done at Penn State, but as we think about how we modify archival workflows, one of the things I'm thinking about right now is how we can connect ArchivesSpace and our fedora repo so that we can more easily manage deposit of born digital materials.
