We'll be at the Society of American Archivists annual conference, and would love the opportunity to meet you and hear updates on your projects. We just had a great webinar featuring work the Reports sub-team has recently accomplished, which will be included in the next release. Read on for more news! Development Our next release is imminent. We expect to put out a release candidate this week, and then, barring major issues, aim to put out the release itself no later than August 10. The centerpiece of this next release will be the refactored reports worked on by our own Sarah Morrissey. Another area that will be less immediately visible but bound to be appreciated by many is code to enhance staff interface performance that has been contributed by Mark Triggs. The release will also include a number of other fixes and improvements from community members, the program team and those working with us. Look for an announcement later this week of the release candidate and a call for wider community testing. Webinars Past Webinar: Reports Refactored Thanks to all who joined us for the Reports Refactored webinar on July 31. Special thanks to our presenter Sarah Morrissey (ArchivesSpace). Resources from the webinar are now available: http://archivesspace.org/archives/3098 Feedback on Webinars & Ideas for the Future We are interested in hearing your feedback on ArchivesSpace webinars -- What do you enjoy about the webinars? A panel of archivists will share their experience of cleaning data, organizing and "packing" finding aids, and migrating them from one database to another. As with a household move, we encountered cluttered closets, broken items, and long lost treasures we forgot we owned. In our commitment to transparency, we will discuss the real and arduous challenges we encountered in our database migrations and will share our programming fixes, plans for standardizing our data, and lessons we learned along the way. No archives have completely perfect finding aids which can cause database migration to be a seemingly impossible task. This panel's goal is to candidly share the hurdles we encountered and solutions we implemented in our own database migrations in order to make yours less challenging. This panel format pop-up will present on a number of databases from which we migrated from including Archivists' Toolkit, Archon, ReDiscovery, and Homegrown Databases into Archives Space. We will offer our solutions to commonly encountered challenges and pitfalls and show helpful tips and tools. We will share lessons learned and solicit a robust question and answer period in order to best address unique audience inquiries. We encourage anyone who is thinking about a database migration, completed one and may have insight to share during our Q & A, or anywhere in between to attend our session. In addition to our panel presentations, we will highlight a newly created Awesome ArchivesSpace List that can serve as a wonderful resource tool for those in the database migration market. * 510 - Challenge Accepted: Building Access Infrastructure for 400+ Years and 1000+ Creators at NYC Municipal Archives (Friday, August 17 - 2:00pm - 3:00pm) For the first time in decades, NYC Municipal Archives is newly addressing legacy issues to provide access to more than 400 years of records. Challenged with the complexities of government, we've struggled to maintain the balance between function and provenance. To provide access and context, we've established a historical ontology within ArchivesSpace of NYC government creators and traced them to their modern-day Record Group equivalents. Join us for a special session sharing our process. * 709 - Beyond the Reference Interview: Assessing the Reading Room Experience (Saturday, August 18 -10:30am - 11:30am) Join us to explore and discuss strategies deployed by public services archivists to gauge levels of patron satisfaction in physical and virtual reading room spaces. Contributors share assessment efforts designed to create more inclusive and efficient research experiences. These include techniques for creating and delivering surveys, data collected from usability studies on several different interfaces (ArchivesSpace PUI, Aeon, and web-based digital collections), and tools for training and assessing students who are responsible for providing research services. New Stories on the Blog In All About Community (http://archivesspace.org/category/all-about-community/), John Zarrillo (Senior Archivist, New York University) introduces the User Documentation sub-team and the work they do to maintain the user manual. This is a continuation of a series looking into the various sub-teams of the Technical Advisory Council and User Advisory Council to provide insight into the variety of activities and initiatives undertaken by these groups. We would love to include your ArchivesSpace stories on the blog! If you would like to contribute, please email Kim at christine.kim at lyrasis.org. You can download it at https://github.com/archivesspace/archivesspace/releases/tag/v2.5.0-RC1 or test it out without downloading at http://test.archivesspace.org/staff (username admin /password admin). This release candidate contains many program-led and community pull requests that provide feature enhancements, bug fixes, infrastructure improvements, and documentation updates. The centerpiece of this release candidate is the refactored reports worked on by our co-op student from Georgia Tech, Sarah Morrissey. Another improvement that is sure to be greatly appreciated by many is code that has been contributed by Mark Triggs that reduces loading times for records in the staff interface. Other items of note include small updates to the OAI-PMH functionality, the MARCXML exporter, the EAD exporter, and the PDF produced from the public interface, and the option to use Japanese translations for the interface labels. There are also some bug fixes for the public and staff interfaces and some additional automated tests and infrastructure upgrades. This release also adds a linked top containers endpoint for the API, which will facilitate bulk data operations related to containers. Thanks to the many community members who made contributions to this release, including both individual developers and our Development Prioritization sub-team, Reports sub-team, and Core Committers Group. In putting release notes together we're always heartened by the reminder of just how many people work with us to make ArchivesSpace better for everyone. Thank you all. Please try this release candidate out over the next few days and let us know by August 8 at ArchivesSpaceHome at lyrasis.org if you notice any problems with the specific areas that are addressed in this release, or if anything that was working before no longer is. Barring major issues, we expect to release 2.5.0 by the end of next week. Message-ID: Dear ArchivesSpace community, At our Annual Member Forum, we announced our idea to facilitate an "implementation buddy" program to help connect our ArchivesSpace community members so we can work through challenges together. We shared our thoughts on how stepping up as a mentor comes with the expectations that may exceed the bandwidth that most of our extremely busy community currently may have. Our vision for "implementation buddies" aims to lift that burden of mentorship while connecting members who can help each other out in balanced harmony. You are welcome to begin submitting your individual interest to be an "implementation buddy" through this Implementation Buddy sign-up sheet. We will regularly circulate this list to individuals who have submitted their interest through this sign-up sheet. We are also offering a webinar on September 26 at 1-1:30pm ET (10-10:30am PT) to provide a background on the ASpace Implementation Buddy program as well as a detailed overview on how you can get involved, including a walkthrough of the ArchivesSpace Member Directory form (link to announcement) and the Implementation Buddy sign-up sheet. Our roadmap is in the process of being updated, but we expect to put out our next release in late September. The deadline for community pull requests for that release will be September 21. ArchivesSpace Member Directory We are thrilled to announce our latest effort to provide information on how our community is using ArchivesSpace! We are compiling an ArchivesSpace Member Directory to bring together information about our diverse ArchivesSpace member community and use of the ArchivesSpace application. We hope the compiled directory will help you identify others in similar situations or facing similar challenges to your own as well as provide a way for all of us to better engage each other for questions, ideas, and insights. The information collected will be shared only with ArchivesSpace members. Aside from publicly available information about institutions like names and locations, information about the use of ArchivesSpace will be shared only for those who consent to have it included. The submission form has been sent to each organization's member rep. We will circulate the directory to member organizations as soon as it is available. Please email us at ArchivesSpaceHome at lyrasis.org if you have any questions or if your institution did not receive a link to the submission form. Our hope is to have all of our 350+ member institutions represented in the directory.
